Job Overview
We are looking for candidates with relevant clinical experience to fill this vital role. The individual in this position will manage the scheduling of all non-surgical office appointments, respond to incoming calls from established patients and external contacts, and liaise with various sites to ensure timely resolution of patient inquiries. This role is essential in creating a positive first impression and demonstrating a commitment to patient care.
Duties and Responsibilities:
- Accurately assess and triage incoming calls to determine the appropriate site and provider based on patient needs.
- Utilize necessary documentation (e.g., dot phrases) relevant to the type of call, such as clinical issues, prescription refills, and appointment inquiries.
- Register patients by collecting demographic information and verifying existing data, ensuring that appointment reminders and information packets are sent out.
- Distribute incoming faxes to the correct recipients.
- Address requests from referring providers through various communication channels and manage their inquiries efficiently.
- Promptly answer and screen incoming calls, routing them according to established customer service protocols.
- Prioritize calls with a professional demeanor to maximize caller satisfaction.
- Provide comprehensive service to minimize call transfers and redundant questions.
- Handle complaints and inquiries by gathering relevant information and resolving concerns promptly.
- Coordinate appointment changes, cancellations, and waitlist management with other schedulers.
- Process prescription refills in accordance with practice protocols.
- Verify and confirm patient appointments as necessary.
- Facilitate interpreter services when required.
- Stay informed about the practice's participation with medical insurance providers and their requirements.
- Exhibit professionalism in both verbal and non-verbal communication to ensure a positive experience for patients, providers, and colleagues.
- Assist management in identifying training needs and provide guidance to less experienced team members.
- Notify Chart Prep when a new patient is scheduled.
Required License/Experience/Skills
- Previous experience in a medical environment.
- Strong oral and written communication skills for effective interaction with physicians, patients, and insurance representatives.
- Experience with Athena is preferred.
