Position Description

Title: Accounts Payable Specialist

Reports To: Accounting Manager

Schedule: Monday to Friday, 8 AM - 4 PM, Flexible Daytime Hours

Compensation: $28-$30 (Dependent on Qualifications)

Classification: Salaried, Non-Exempt, Full-time, 40 hours per week

Union Representation: This role is not represented by a union.


The Accounts Payable Specialist will work closely with the Accounting Manager to execute routine financial tasks, including processing accounts payable and providing essential support to the accounting team.

Key Responsibilities:

  • Manage payments and control expenses by receiving, processing, verifying, and reconciling invoices.
  • Ensure accuracy by reconciling processed work through verification of entries and comparison of system reports to balances.
  • Allocate expenses to accounts and cost centers by analyzing invoice and expense reports, recording necessary entries.
  • Facilitate vendor payments by monitoring discount opportunities, verifying federal identification numbers, scheduling, and preparing checks while resolving discrepancies related to purchase orders, contracts, invoices, or payments.
  • Ensure credit is received for outstanding memos.
  • Maintain accounting ledgers by verifying and posting transactions related to payables.
  • Verify vendor accounts by reconciling monthly statements and associated transactions.
  • Preserve historical records by scanning and filing documents appropriately.
  • Support the management of key vendor relationships.
  • Ensure all invoices are exempt from sales tax and that vendors possess the necessary documentation for sales tax exemptions.
  • Safeguard the organization's value by maintaining confidentiality of sensitive information.
  • Enhance job knowledge by engaging in educational opportunities.
  • Maintain the accounts payable filing system.
  • Ensure that accounts payable checks are properly documented and approved according to established internal control procedures.
  • Perform additional duties as assigned.

Qualifications:

  • Associate degree in accounting is required.
  • 2-3 years of experience in Accounts Payable, preferably within the nonprofit sector.
  • Payroll experience is a plus.
  • Excellent communication skills.
  • Exceptional attention to detail.
  • Ability to prioritize tasks, work independently, and meet deadlines.
  • Strong organizational skills and meticulous attention to detail.
  • Proficient in accounting software (Sage Intacct preferred), Excel, and MS Office.
  • Ability to maintain confidentiality regarding sensitive materials and information.

Preferred Qualifications:

  • Bachelor's degree in a relevant field.
  • Familiarity with Sage Intacct is advantageous.

Referral Bonus Program:
