The Executive Support Specialist operates onsite at the Northville, MI facility, delivering high-level administrative assistance to several Vice Presidents. This role encompasses managing schedules, coordinating travel logistics, and executing various administrative tasks to facilitate the leaders' effectiveness. A minimum of three days per week onsite presence is required, with additional days as necessary.

KEY RESPONSIBILITIES:

  • Oversees Outlook Calendar management, schedules meetings, and organizes travel and accommodations for the VPs, both internationally and domestically.
  • Handles expense reporting systems on behalf of the VPs.
  • Participates in all staff meetings (either with the VP or as a representative) and documents meeting discussions.
  • Records and maintains minutes from meetings.
  • Acts as a representative for leaders during their absence, managing all incoming matters.
  • Performs various administrative duties, including drafting letters, memos, invoices, reports, PowerPoint presentations, and other documentation.
  • Manages incoming communications (mail, email, fax, etc.) for the team, summarizing and distributing to the appropriate parties.
  • Maintains records and manages supply orders.
  • Undertakes additional responsibilities as assigned and engages in special projects as needed.

EDUCATION: An Associate's Degree is required, while a Bachelor's Degree is preferred.

SKILLS & EXPERIENCE:

  • At least 5 years of experience providing administrative support to executive-level personnel.
  • Demonstrated ability to respond promptly and effectively in a fast-paced, dynamic work environment.
  • Willingness to engage with diverse groups and cultures.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong time management capabilities with the ability to juggle multiple tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Comprehensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Highly proficient in Microsoft Office Suite or similar software, with the capacity to learn new or updated software quickly.
