Job Title: Client Service Specialist

At BellaVista Landscape Services Inc., we are seeking a highly skilled and detail-oriented Client Service Specialist to join our team. This role is responsible for supporting client relationships and facilitating internal team collaboration efforts.

Key Responsibilities:
  • Work Order Management: Respond to all work orders for all Sacramento accounts within 24 hours, input work orders into proper management channels, and create comprehensive proposals for work orders with location, photos, and necessary details.
  • Proposal Writing: Write proposals for all simple irrigation, planting, and general enhancement requests from both clients and internal teams, using proper proposal writing protocols.
  • Communication: Use professional language and proper grammar, spelling, and sentence structure in all emails to internal teams and external clients, and include a cc to manager.
  • End-to-End Client Meeting Management: Schedule and confirm meetings, prepare meeting agendas and packets, take comprehensive notes and photos during meetings, and follow up on action items.
  • Client Deliverable Development: Develop landscape management proposals, presentation decks, simple QuickBooks proposals, property service/operations maps, digitizing irrigation maps, newsletters, maintenance and irrigation schedules, and construction project request packages.
  • Marketing & Client Relations: Manage industry membership, coordinate and register industry events, support educational programming, develop and execute client relations events, contribute to social media, and manage giveaway inventory.
  • Punch List Development: Complete physical walking inspections of properties, email clients with walk dates and times, complete punch lists in apps, and save punch lists in shared client folders.
Requirements:
  • Attendance: Attend weekly preparation meetings, take thorough notes, and send email summaries of discussed action items.
  • Task Completion: Complete assigned tasks timely and accurately, free of errors and omissions.
  • Communication: Complete weekly update summaries sent to managers by Friday at 3:00 pm, and attend all required team and client meetings.
  • Learning: Consistently learn industry practices, identify plants, irrigation issues, and need-to-have enhancements onsite.
