Job Summary

The California State University is seeking a highly skilled CHRS Project Coordinator to join our team. As a key member of our project management team, you will be responsible for coordinating project activities, including scheduling meetings, managing project timelines, and ensuring the successful implementation of projects.

Key Responsibilities
  • Support the development of project plans, including multiyear plans and individual campus plans.
  • Coordinate project activities, including scheduling meetings, managing project timelines, and ensuring the successful implementation of projects.
  • Act as a resource for campus implementation teams, providing guidance and support as needed.
  • Develop and track project deliverables, including documentation, team status reports, and executive status reports.
  • Coordinate program events and communications tools, including All-Hands Meetings, webinars, and newsletters.
  • Support the production and distribution of content for the CHRS Program, including documentation, team status reports, and executive status reports.
  • Monitor program issues and risks, preparing escalation documentation as required.
  • Schedule program meetings and planning sessions.
  • Monitor and consolidate team status reports.
  • Assist in the creation, maintenance, and distribution of Program and Executive Status Reports.
  • Monitor team/program effectiveness and provide suggestions for improvement.
  • Review program documents/deliverables independently or in collaboration with a team to evaluate preparedness for submission.
  • Monitor and track stakeholder feedback with the CHRS communication mailbox.
  • Assist with the recruitment and onboarding of program staff according to CSU policies.
  • Support workshops, meetings, or conferences, coordinating logistics, scheduling, and participant communications.
Requirements
  • Minimum of four years of project-related experience with demonstrated comprehensive knowledge and understanding in supporting multiple projects using various technologies.
  • Demonstrated ability to work with various constituents in a customer service manner.
  • Ability to demonstrate excellent communication (written and verbal) and presentation skills.
  • Ability to demonstrate technical writing skills and ability to work with project managers, analysts, and programmers to describe requirements and needs.
  • Ability to effectively communicate with all levels of employees, from technical and operational end users to staff and management.
  • Demonstrated ability to accomplish work objectives that cover a wide spectrum of requirements.
  • Exceptionally detailed and thorough organizational skills, with the ability to apply logic and critical thinking skills in problem-solving resolutions.
  • Proficient knowledge of standard office software (Outlook, Word, Excel, Visio, and PowerPoint) data analysis and survey tools, with the ability to quickly adapt to new software applications to support and coordinate meetings and project work.
  • Proficient in Word, Excel, and SharePoint software to manage plans.
