The role entails providing essential administrative assistance to the quality assurance program within the Clinical Cell and Vaccine Production Facility. This program is pivotal in ensuring that all operations comply with Good Laboratory Practices (GLP) and Good Manufacturing Practices (GMP), and it holds accreditation from the Foundation for the Accreditation of Cellular Therapy.

Key responsibilities include managing documentation and verification processes, which are vital for the efficient organization, retrieval, and filing of sensitive patient and clinical manufacturing records. This role also involves overseeing the Eternal Report and CVPF Correspondences. A systematic approach is adopted: Executed Batch Records (EBRs) are digitized and securely stored on the CVPF Controlled Shared Drive for easy access, while physical copies are meticulously organized in designated cabinets for reference. To maintain compliance and ensure long-term record retention, some documents are securely shipped to an off-site storage facility. This thorough system of Good Documentation Practices is designed to uphold the integrity and accessibility of crucial batch documentation, thereby fostering a quality assurance environment driven by data.

Key Responsibilities

  • Travel Coordination: Organize arrangements for both domestic and international travel and process travel reimbursements.
  • Event Coordination: Assist in the planning and execution of various CCI events, including Research Meetings, Lab meetings, Site Visits, and Advisory Board Meetings.
  • Training Management: Maintain training records and provide information regarding Penn Policies and procedures to all CCI personnel as necessary.
  • Support for CVPF Quality Assurance: Retrieve and file Quality Control Assay Reports linked to Executed Batch Records; digitize and archive Executed Batch Records on the CVPF Shared Drive; organize physical records in cabinets; facilitate the shipping of documents to off-site storage; and manage the Eternal Report and CVPF Correspondences.

Qualifications

  • A High School diploma or GED, accompanied by 5 to 7 years of relevant experience or an equivalent combination of education and experience is required.
