Position Summary

We are seeking a meticulous and detail-oriented Proposal Management Specialist to support our corporate initiatives as we broaden our presence in employer and governmental programs, with a particular emphasis on GLP-1 and Drug Screening initiatives. The responsibilities of this role include:

  • Utilizing AI technologies for content creation, refinement, and proposal formulation.
  • Establishing and overseeing a detailed repository of reusable materials for proposal submissions.
  • Coordinating efforts among proposal team members from strategy development to submission.
  • Leading the review of RFP requirements, Bid/No-Bid assessments, and strategic win planning.
  • Crafting compliant responses to RFIs and RFPs from employers and government entities.
  • Authoring sections related to technical aspects, management, corporate experience, key personnel, and historical performance.
  • Creating compelling narratives for proposal evaluators.
  • Editing documents for compliance, clarity, and brevity.
  • Developing schedules, compliance matrices, and annotated proposals.
  • Generating proof points, case studies, client testimonials, graphics, tables, and charts.
  • Collaborating with sales personnel for RFP identification and assessment.

Key Responsibilities:

  • Oversee the complete proposal lifecycle.
  • Leverage AI tools for content creation and integration.
  • Develop and maintain a comprehensive library of reusable content.
  • Analyze RFPs, assess bid/no-bid factors, and offer recommendations.
  • Prepare bid analysis documents highlighting RFP details.
  • Create project kickoff plans and timelines.
  • Structure proposals according to RFP guidelines.
  • Select and integrate content from eMed's library.
  • Collaborate with leadership to select and refine past performances and resumes.
  • Compile and edit proposal volumes with standard and customized content.
  • Coordinate with leadership on business and pricing proposal volumes.
  • Edit and revise content to align with RFP specifications.
  • Utilize and adapt graphics, tables, figures, and icons.
  • Edit proposals for consistency, clarity, formatting, grammar, and punctuation.
  • Ensure compliance and conduct pre-submission evaluations.
  • Drive quality assurance throughout the proposal process.
  • Manage multiple proposals concurrently, adhering to deadlines.
  • Share insights from post-bid evaluations.
  • Continuously update and enhance the proposal content library.
  • Propose and implement process enhancements.

Qualifications:

  • Bachelor's degree in English, Journalism, Communications, or related fields.
  • Minimum of 2 years of experience in managing proposals for employers and government entities.
  • Proficiency in utilizing AI tools for content generation and proposal development.
  • High standards for deliverables and work quality.
  • Experience in a fast-paced proposal environment with tight deadlines.
  • Understanding of procurement strategies for employers and government.
  • Exceptional proposal and project management capabilities.
  • Experience with task order proposal submissions.
  • Proficient in Microsoft Office Suite, SharePoint, Teams, Adobe Professional, and advanced AI tools.
  • Current knowledge of marketing, editing, graphic design, and proposal best practices.
