POSITION OVERVIEW:


This role is responsible for providing comprehensive leadership across the state for the procurement, handling, storage, and distribution of food resources through The Idaho Foodbank (IFB) network of over 400 partner organizations.

The individual will oversee inventory management, ERP system protocols, logistics, safe food practices, regulatory compliance, and facility oversight at The Idaho Foodbank's three operational sites.

The Chief Operations Officer will spearhead the development and execution of strategic objectives that align with the organization's mission and ensure the establishment and implementation of actionable plans to fulfill those objectives.

KEY RESPONSIBILITIES:
1) Strategic Leadership and Planning

  • Collaborate with the Board of Directors, CEO, and other leadership team members to develop and implement strategic initiatives, structures, and processes essential for managing current operations and anticipated growth.
  • Engage actively with the leadership team and board members in regular assessments of the operational environment to identify challenges and opportunities that align with the mission.
  • Supervise research and analyze trends in operational sectors to support strategic planning and daily problem resolution.
2) Team Development

  • Recruit, inspire, and lead a high-performing, customer-focused team responsible for various operational functions including branch management, warehousing, distribution, quality assurance, transportation, fleet oversight, and facility management.
  • Hire management personnel with the necessary skills, temperament, and passion to successfully implement organizational goals and strategies.
  • Oversee the workflow of assigned personnel.
  • Foster opportunities for staff development and career advancement.
  • Ensure accountability measures are established throughout operations to achieve set objectives.
  • Lead succession planning and business continuity efforts within operations.
  • Guide the operations management team and mentor members through the recruitment process.
3) Data Oversight and Analysis

  • Review, analyze, and interpret complex financial statements, legal documents, and other operational records.
  • Develop, maintain, and communicate forecasts and key performance indicators (KPIs) to the organization on a regular basis.
  • Utilize measurable metrics and management expertise to conduct departmental audits to assess cost-benefit analyses and service capacity needed to meet objectives.
  • Ensure optimal operational effectiveness through efficient use of the ERP system, particularly in warehouse management, inventory control, labor management, and logistics.
  • Apply data-driven approaches to resolve practical issues and navigate diverse variables in situations lacking standardization.
  • Coordinate evaluations of operational results, including activities impacting organizational risk and liability, and systematically report these findings to the Executive Leadership Team.
  • Develop or oversee the creation of metrics to assess performance across all operational areas.
  • Distill complex information; differentiate assumptions from factual data; categorize information; quantify the impact of significant decisions.
4) Process Enhancement and Development

  • Identify and implement change initiatives that enhance operational workflows and productivity while maintaining a focus on delivering value to both internal and external stakeholders.
  • Provide guidance on business matters, including operational policies, continuous improvement processes, and new initiatives.
  • Direct the establishment and implementation of processes and controls to ensure compliance with all relevant regulatory bodies and external compliance organizations.
  • Lead a structured planning process that defines short- and long-term goals supported by repeatable processes and procedures.
5) System Management

  • Ensure effective management of all warehousing and food distribution operations, including safety, security, inventory, facilities management, procurement, and equipment maintenance.
  • Oversee all transportation and logistics operations to guarantee reliable and efficient food distribution.
  • Ensure compliance with operational requirements of significant grants and contracts.
  • Clearly define and communicate the responsibilities, authorities, and accountability of all direct reports.
  • Ensure compliance with all relevant health and safety regulations.
6) System Integration

  • Collaborate with the Executive Leadership Team to develop the Operations Business Plan and budget, including ongoing reviews and analyses of activities, costs, operations, and forecasts to assess organizational progress.
  • Oversee the development of annual business plans and budgets for direct reports.
  • Initiate and manage cross-functional projects, including the documentation of standard operating procedures and quality control functions.
  • Form and convene interdepartmental teams to ensure consistent communication, workflow, and outcomes.
  • Solicit input from both internal and external stakeholders to enhance results and decision-making.
7) Communication and Representation

  • Represent IFB at community initiatives and participate in relevant meetings and committees.
  • Cultivate and maintain relationships with key supporters of operational processes and capital requirements.
  • Attend board and committee meetings as required.
  • Lead operational meetings effectively.
  • Develop and implement procedures to enhance communication and facilitate information flow within the organization.
  • Inspire positive responses to organizational changes.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Business or Operations Management or equivalent experience.
  • Proven experience managing operations for an organization with a multimillion-dollar budget and a workforce exceeding 50 employees.
  • Experience with DOT regulations preferred.
  • Advanced training in Food Safety and Behavior-Based Safety preferred.
  • Lean/Six Sigma Green Belt or Black Belt certification preferred.
  • Demonstrated forward-thinking capabilities with proven results in a dynamic environment.
  • Strong servant leadership qualities.
  • Entrepreneurial mindset with a proactive approach.
  • Comprehensive knowledge of facility management, inventory systems, ERP software, logistics, and transportation management.
  • Creative problem-solving abilities with strong organizational, analytical, planning, and management skills.
  • Ability to manage multiple priorities and work effectively with a diverse team.
  • Intermediate proficiency in MS Office; knowledge of Navision/MS Dynamics preferred.
  • At least 6 years of experience in warehouse and facility management with a track record of system improvements.
  • Valid driver's license and willingness to travel as needed.
Working Conditions

This role is primarily office-based, requiring extended periods of sitting at a computer. Occasional lifting and carrying of items weighing up to 50 pounds may be necessary. Flexibility in working hours may be required for various projects.
