The ADMINISTRATIVE COORDINATOR will provide essential support to a senior executive within the Community Services Office (CSO) under the Administration of Children and Families (ACF) at the Department of Health and Human Services (HHS). The CSO oversees numerous initiatives aimed at alleviating poverty, promoting economic stability, and revitalizing communities. This role is vital to the ICF Next team, delivering direct assistance to CSO leadership while working under the guidance of an ICF supervisor. The ideal candidate is proactive, adept at navigating a dynamic work environment with changing priorities, and possesses a keen eye for detail; exceptional communication abilities; strong problem-solving skills; and the capacity to engage professionally with senior leaders both within and outside the CSO.

This is a hybrid role, requiring in-office presence at least two days a week.

This position necessitates a government clearance to access facilities and technology.

Key Responsibilities:
  • Deliver administrative assistance to the senior executive, including calendar management, meeting scheduling, travel coordination, and tracking deadlines while understanding priority tasks.
  • Draft, edit, and review communications on behalf of the senior executive, encompassing program reports, correspondence, memos, presentations, and policy documents.
  • Support data collection, analysis, reporting, and compliance efforts.
  • Compile information from various sources within the CSO to respond accurately to urgent data requests.
  • Conduct research and analyze policies, assessing the implications of proposed legislation and summarizing findings.
  • Foster collaborative relationships within the CSO, ACF, other federal agencies, and key stakeholders.
  • Attend regular meetings with CSO staff and leadership, representing the senior executive when necessary.
  • Assist in organizing virtual and in-person events, contributing to planning, logistics, and follow-up actions.
  • Utilize administrative tools and technology effectively (e.g., GrantSolutions, SharePoint).
  • Participate in special projects as assigned by senior leadership.
  • Handle miscellaneous clerical tasks, including electronic file management and document preparation.
  • Maintain consistent communication with ICF managers regarding workload and project updates.
Basic Qualifications Required:
  • Bachelor's degree in Public Policy, Government, Economics, Urban Planning, or a related field.
  • A minimum of 5 years of relevant experience supporting an executive in a similar role.
Preferred Skills:
  • Experience in community services or community development.
  • Interest in supporting underserved communities.
  • Familiarity with Capitol Hill operations is advantageous.
