POSITION SUMMARY: Under direct supervision, the role is responsible for welcoming patients and assessing the purpose of their visit. This position involves tasks related to the check-in process, including eligibility verification and benefits for all insurance plans, generating referral documentation, and performing data entry tasks. The individual will also address patient inquiries and complete the check-out process, which includes scheduling follow-up appointments and procedures performed at the office.

PHYSICAL AND MENTAL DEMANDS: The job requires prolonged periods of standing, sitting, and viewing computer screens. The ability to manage stressors related to a technical work environment, patient care, and urgent situations is essential.

WORK ENVIRONMENT: This position operates in a fast-paced setting with a high volume of patient traffic for check-in and check-out. Overtime may be required, and the role involves rotation through front desk, phone, and filing responsibilities. Travel to various office locations may be necessary.

KEY RESPONSIBILITIES:

  • Greet all patients upon arrival and assess the nature of their visit.
  • Provide new patients with necessary forms to establish their medical records.
  • Review documents to ensure all required fields and signatures are completed.
  • Input new patient insurance information into the Ntierprise system.
  • Verify and scan patient identification and insurance cards, updating records as necessary.
  • Contact patients, insurance providers, and physician offices to confirm referral statuses for upcoming appointments.
  • Respond to calls from primary care physician offices regarding patient referrals and update records accordingly.
  • Collect payments for office visits and outstanding balances, providing computerized receipts and posting payments in the Ntierprise system.
  • Balance monetary transactions on a daily basis.
  • Schedule follow-up appointments and procedures conducted at the office.
  • Prepare appointment cards for patient use.
  • Facilitate physician callbacks and patient follow-ups.
  • Perform various clerical tasks, including completing scripts for hospital testing and reviewing the next day’s office schedule.
  • Assist staff with filing and telephone duties as time permits.
  • Maintain confidentiality of patient records and demonstrate accountability for personal development and skill enhancement.
  • Assist with office housekeeping duties as needed.

EDUCATIONAL REQUIREMENTS: High school diploma or GED.

EXPERIENCE: A minimum of one year in a professional office environment is required, with a preference for customer service experience.

SKILLS: General clerical abilities, basic computer proficiency, and a typing speed of at least 30 words per minute. Strong communication and interpersonal skills are essential, along with self-motivation and organizational capabilities. A focus on customer service is paramount.
