Job Overview

We are seeking a highly organized and customer-focused Executive Administrative Support Specialist to provide exceptional administrative support to our team. This is an excellent opportunity for someone who enjoys working in a fast-paced environment and providing top-notch service to clients.

About the Role

The ideal candidate will be responsible for handling case notes, processing correspondence, and maintaining client case files. They will also file new statements, account forms, and other insurance-related materials, as well as maintain the financial representative's calendar and schedule follow-up appointments.

Responsibilities
  • Handle case notes, process correspondence, and maintain client case files
  • File new statements, account forms, and other insurance-related materials
  • Maintain the financial representative's calendar and schedule follow-up appointments
  • Answer telephone calls and direct them as appropriate
  • Process client/prospect reservations for marketing events such as seminars and assist in the preparation of seminar materials and event mailings
  • Maintain supplies of current insurance-related marketing materials
  • Input data, print proposals, and gather information at the direction of the financial representative in preparation for client/prospect meetings
  • Contact clients to set up follow-up meetings with representatives
  • Contact clients to confirm receipt of forms or request a return of completed forms
  • Monitor Daily Status Report (DSR) and expedite any additional underwriting requirements
  • Prepare/print letters of instruction for client's signature
  • Prepare policies for delivery
  • Schedule birthday/age change appointments for representatives
  • Generate lead letters and implement marketing programs
Client Service Support
  • Review insurance applications, conversions, and policy changes for completeness and accuracy and return to a representative for any missing information
  • Arrange medical, paramedical, and any exams necessary for underwriting
  • Provide current status and account values for non-securities-related accounts
  • Contact clients regarding late payments
  • Process incoming non-securities-related insurance service requests from clients (process address changes, bank change information, loan requests, and ISA service inquiries)
  • Facilitate communication between customers and team to ensure customer satisfaction
  • Coordinate company parties, necessary appointments, or travel
  • Improve skill sets through employee development programs
  • Oversee online and print marketing efforts
  • Create and implement data entry protocols to streamline processes and increase productivity
Requirements
  • Proficient in basic computer software and able to quickly learn to use new programs
  • High school diploma or GED required
  • Prior experience in office management or the industry is a plus
  • Excellent verbal and written communication skills
  • History of being deadline-driven and extremely organized
Estimated Salary Range

$55,000 - $65,000 per year
