About the Role

The Program Office is responsible for overseeing the Museum's Programmatic Centers and Institutes, leading strategic planning and governance, and managing various cross-office initiatives. The Museum is seeking a skilled and knowledgeable Program Operations Coordinator to assist in supporting its Programmatic Centers and Institutes. This role is essential in aiding the Museum's Program offices with financial oversight, budgeting, fundraising, and evaluation processes.

The ideal candidate will have a strong passion for the Museum's mission and a commitment to problem-solving while upholding the organization's values. The Program Operations Coordinator will collaborate closely with the Director of Program and Planning Administration and engage with multiple teams and stakeholders to achieve consensus and fulfill responsibilities.

Key Responsibilities

Financial Oversight and Budgeting:
  • Establishes the annual budget planning timeline and guidelines for key Program staff in collaboration with the Office of Finance. Works with Directors of Planning and Administration to ensure effective budget planning and execution.
  • Implements communication strategies to engage Directors in budget preparation aligned with strategic priorities.
  • Assists Directors in managing and analyzing their annual budgets, addressing challenges as they arise, and serving as a liaison with the Office of Finance and Development.
  • Provides direct support for budget formulation and execution for staff in the Planning and Program Offices.
  • Prepares comprehensive overviews and analyses of all Program center budgets, identifying funding gaps and providing insights for strategic decision-making.
  • Monitors budget execution and spending throughout the year, ensuring alignment with projections and donor agreements, and recommends adjustments as necessary.
  • Offers feedback to the Office of Finance on Program Office needs for improved financial reporting.
  • Addresses complex financial issues, seeking guidance from the Director of Program and Planning Administration.
Fundraising Support:
  • Evaluates donor materials, including proposals and reports, ensuring alignment with institutional priorities and donor agreements.
  • Coordinates logistics for the review and editing of donor materials by Program Office leadership.
  • Reviews financial forecasts for fundraising materials to ensure alignment with operational budgets.
  • Tracks and resolves issues arising from the Development Office.
Monitoring and Evaluation:
  • Collaborates with Program staff to support monitoring and evaluation efforts, measuring progress against strategic goals.
  • Recommends appropriate indicators and targets, determining data sources and collection methods.
  • Develops systems and processes for regular data collection and reporting.
  • Analyzes data to create dashboards and reports for internal and external stakeholders.
Additional Responsibilities:
  • Creates communication plans and timelines for project work, ensuring interconnectedness and coordination.
  • Manages special projects, ensuring timely and high-quality deliverables.
  • Facilitates meetings, including preparing agendas and ensuring follow-up on action items.
  • Prepares correspondence, reports, and other documentation for various audiences.
  • Performs other duties as assigned.
Minimum Qualifications:
  • 5+ years of experience in fundraising, budgeting, and financial management, or equivalent education and experience.
  • Proven problem-solving skills and the ability to manage risks in a dynamic environment.
  • Experience in writing donor reports and synthesizing data.
  • Proficiency in financial modeling and budget management.
  • Ability to adapt to changing priorities and collaborate effectively.
  • Excellent communication skills, both verbal and written.
  • Experience in developing presentations and reports.
  • Strong skills in Google Suite and Microsoft Office.
  • Project management experience, including organization and reporting.
Preferred Qualifications:
  • Advanced degree in Business, Public Policy, Non-Profit Administration, or related fields.
  • Experience in monitoring and evaluating metrics against strategic goals.
