The Office Clerk position at Campbell County Schools is responsible for providing administrative support to assigned personnel, communicating information to staff and the public, and maintaining accurate records.

Key Responsibilities
  • Assist with compiling student records, including birth certificates, transfers, and immunization records, to meet state, federal, and district requirements.
  • Coordinate with building substitutes to ensure coverage of assigned classes and positions in the event of an employee absence.
  • Collect payments and fees for transactions as assigned.
  • Communicate with various individuals, including students, teachers, parents, staff, and juvenile probation officials, to provide information, resolve problems, and coordinate activities.
  • Coordinate activities, such as appointments and trips, to maintain efficiency of department operations and comply with district, state, and federal regulations.
  • Direct student workers as needed and assigned to guide and monitor their activities, maximize their efficiency, and meet work requirements.
  • Ensure accuracy of attendance records, including verification of forgeries and truancies, to comply with state laws governing attendance accounting.
  • Maintain various records and files, including lunch accounts, rosters, daily student attendance, periodic reports, policy and procedures binders, substitute lists, grade reports, transcripts, master schedules, and more.
  • Maintain or assist in maintaining an inventory of office supplies to ensure availability as needed.
  • Monitor students referred for illness or disciplinary action to ensure their safety and welfare as assigned.
  • Operate automated student attendance systems and other software as needed to accurately track and document student attendance information.
  • Perform record-keeping and general clerical functions, including proofreading, filing, copying, faxing, and more, to support departmental operations.
  • Prepare various documents and materials, including notes, standardized correspondence, calendars, meal counts, marketing materials, presentations, handouts, periodic reports, purchase orders, work orders, field trip lists, detention lists, counseling groups, passes, memos, letters, and more, to communicate information to school and district personnel, the public, state officials, and document activities.
  • Process documents, forms, reports, and materials, including reports, cash payments, requisitions, re-certifications, fees, mail, applications, lunch counts, and more, to disseminate information, determine eligibility, and complete transactions.
  • Receive and distribute supplies and correspondence from various sources to building staff, ensuring materials received are in good condition and distributed to the correct party in a timely manner.
  • Respond to inquiries from staff, the public, parents, and students to provide information and/or direction as required.
  • Support assigned administrators and building certified staff to ensure all assigned building operations are appropriately planned for and maintained.
Requirements
  • Job-related experience is desired.
  • High School diploma or equivalent is required.
  • CPR Certification is required, with training provided.
  • Criminal Justice Fingerprint/Background Clearance is required.
Working Environment

The Office Clerk position requires the ability to work in a generally hazard-free environment, with some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity. The job requires 60% sitting, 20% walking, and 20% standing.
