Job Title: Human Resources Coordinator

Ultimate Staffing is seeking a highly skilled Human Resources Coordinator to support our fast-paced traffic control company in Fremont, CA. This is a contract-to-hire position with a competitive hourly rate.

Job Summary:

The Human Resources Coordinator will assist in various HR functions, including full-cycle recruiting, benefits administration, employee relations, compliance, and workers' compensation. This role requires a highly perceptive individual who can relate to employees at all levels within the organization. The successful candidate will be sensitive to the company's needs, employee goodwill, and business requirements.

Key Responsibilities:
  • First point of contact for the HR Department, screening questions, issues, and inquiries, and directing them accordingly.
  • Administer employee verification programs, such as driver programs and drug testing.
  • Maintain human resources records, including complete files for every employee, such as new policies and training records.
  • Assist with onboarding and offboarding processes.
  • Support the recruitment cycle for all open positions, including job description writing, resume review, phone screens, interviews, and reference checks.
  • Explain benefit programs to employees and assist with employee benefits enrollment for non-union employees.
  • Verify candidate backgrounds by performing background checks and calling references.
  • Provide backup support for workers' compensation.
  • Complete EDD forms for employees.
  • Maintain confidentiality of human resources information.
  • Assist with internal professional development and training initiatives, using a Learning Management System.
  • Track leave of absence processes, performing data entry of leave of absence and benefit information into HR systems.
  • Respond to employee inquiries, such as PTO requests, W2 assistance, leaves of absence, initial payroll questions, and HRIS questions, via phone, chat, or email.
  • Perform HR administrative duties and assist the Training/Safety Department with administrative tasks.
  • Create and update Standard Operating Procedures and ensure all desk procedures are well-documented.
  • Schedule meetings and interviews as requested by the Sr. HR Manager or other department managers.
  • Perform other clerical functions, such as making photocopies, mailing, scanning, and emailing documents.
  • File documents into employee files.
  • Prepare correspondence as requested.
  • Process mail.
Requirements:
  • Minimum 3-5 years of Human Resources experience.
  • Bachelor's degree in Human Resources or a related field (a plus).
  • Proficiency with or the ability to quickly learn the organization's HRIS and talent management systems.
  • Experience with BambooHR is a plus, but not required.
  • Bilingual in English and Spanish is strongly preferred, but not required.
