Job Overview

Position: Administrative Support Specialist

Compensation: Pay Scale: Range 11; $18.47/hr to $27.68/hr. Initial compensation typically aligns with the lower end of the pay scale based on qualifications and experience.

Work Schedule: Part-Time, approximately hours per week. Availability required in the afternoons from 1 PM to 5 PM, Monday through Friday.

Department: Finance Department

Employment Status: Permanent Part-Time; no benefits provided.

FLSA Classification: Non-Exempt

Job Responsibilities

The individual in this part-time role will undertake clerical and receptionist tasks under the supervision of the Finance Director, providing assistance to finance, utilities, and administrative staff at the front desk.

Key Duties
  • Welcome and assist the public with inquiries regarding various municipal matters.
  • Input data into relevant computer software systems.
  • Respond to and manage telephone inquiries from the public.
  • Record and relay messages as necessary.
  • Assist with the processing of utility bills and address customer inquiries related to utilities.
  • Order and manage office supplies.
  • Handle petty cash and other financial transactions.
  • Process payments and assist with accounts payable tasks.
  • Perform additional related duties as assigned.
QualificationsKnowledge, Skills, and Abilities

Knowledge of:

  • Clerical and office procedures.
  • Report generation.
  • Office organization and efficiency techniques; proficiency in computer software, including email, spreadsheets, and word processing applications.

Ability to:

  • Communicate effectively with officials, colleagues, and the public.
  • Utilize office equipment proficiently.
  • Effectively operate desktop computers and Microsoft software programs.
  • Address general complaints and inquiries regarding services or processes.

Responsibility for:

  • Care and management of materials, equipment, and financial resources.
  • Safeguarding private and confidential personnel information.

Skills in:

  • Operating computer systems, office equipment, and telephone systems.
Education and Experience

A standard high school diploma along with one year of relevant experience or an equivalent combination of education and experience is required.

Licenses and Certifications
  • A valid State of Utah driver’s license is required.
Work Environment
  • Typical office setting.
  • Light physical effort is expected.
