Summary:

The Project Coordination Specialist plays a vital role in overseeing construction initiatives, ensuring that all operations proceed seamlessly and effectively. This position is essential for facilitating the exchange of technical information among the management team, clients, and subcontractors, while proactively identifying and resolving potential delays and challenges.

Key Responsibilities:

  • Manage the procurement and delivery of materials.
  • Organize and schedule vendor activities under the supervision of the Field Leader or Project Manager.
  • Regularly update and maintain the project Critical Path Management schedule.
  • Ensure the accurate application of company time-tracking systems.
  • Review all project-related documentation prior to the commencement of work.
  • Organize and manage project drawings and documents, ensuring they are accessible and well-structured.
  • Input relevant project data into appropriate software applications.
  • Assist with construction administration tasks as required.
  • Participate in project meetings, document notes, and track action items.
  • Oversee the entire change order process.
  • Establish and manage a Submittal register and the submittal process.
  • Maintain various project logs, including RFI, Submittal Register, Meeting Minutes, Daily Reports, etc.
  • Support project Close-Out procedures and documentation.
  • Facilitate the Request for Information processes.
  • Assist in project logistics planning and material coordination.
  • Exhibit professional conduct and communication at all times.
  • Be available for additional work outside regular hours to address project-related issues.
  • Assist in estimating and take-offs for change orders.

Qualifications:

  • Proficient in Word, Excel, Bluebeam, Microsoft Teams, and Outlook.
  • Familiarity with Customer Management tools such as Bluebeam Studio, BIM 360, and Procore.
  • Ability to interpret plans and specifications is advantageous.
  • Capable of understanding and discussing project schedules.
  • Knowledge of a foreign language is beneficial but not mandatory.
  • A degree in a relevant field is a plus but not obligatory.
  • Prior related experience is advantageous but not mandatory.
  • Experience with PowerFab is beneficial but not required.
  • Familiarity with Vista software is a plus but not essential.
