Administrative Support Specialist

Schedule: 7 am to 3:45 pm CST, Monday through Friday
Key Responsibilities:
- Deliver confidential and administrative assistance to the General Manager and team. Proactively organize, attend, and facilitate meetings and conferences.
- Generate financial, statistical, narrative, and other reports as required. Oversee budget expenditures in accordance with company policies, under the guidance of the General Manager.
- Manage the Purchase Order System and provide administrative assistance for material procurement.
- Complete bi-weekly timesheets and submit them to payroll for all full-time and temporary staff.
- Coordinate routine activities and communications with DPW, government contractors, and other stakeholders as directed. Address telephone inquiries and relay information to field personnel.
- Oversee the Work Order System. Administer and coordinate the preparation and completion of work orders following established policies and practices.
- Administer and maintain reports, maps, charts, and records related to operations and maintenance (O&M) capital.
- Enhance communication effectiveness by actively listening and providing constructive feedback.
- Perform additional related duties as assigned.
- Any combination equivalent to: graduation from high school or GED, plus five (5) or more years of secretarial or administrative experience, with a proven track record of responsible duties. Formal secretarial training or a degree in Secretarial Science and/or CPS designation is preferred.
- Proficient in MS Office Suite, including MS Word, Excel, PowerPoint, and Access.
- Intermediate computer literacy; adept in internet use, email, word processing, formatting, tables, graphing, presentations, spreadsheets, databases, and multimedia.
- Promotes the effective use of technology to enhance operations.
- Ability to work independently; possesses strong administrative and computer skills; excellent interpersonal skills (e.g., tact, diplomacy, cooperation, negotiation); demonstrates high initiative, judgment, and discretion; maintains confidentiality.
- Capable of proactively identifying solutions both independently and within a team context.
- Highly organized with the ability to prioritize workload to meet deadlines and avoid oversights.
- Demonstrates proper grammar, spelling, and punctuation usage.
- Comprehensive understanding of company operations, policies, and procedures.
- Familiarity with advanced secretarial practices and executive protocol.
