Position Summary: We are currently in search of a Client Service Administrative Associate to enhance our operations. This role is pivotal as you will serve as the initial point of contact for our clients, addressing inquiries, managing inbound communications, and facilitating customer requests. Additionally, you will play a vital role in organizing, participating in, and following up on client financial reviews and planning sessions.

We seek a motivated and qualified individual who is eager to embark on a career path within wealth advisory. The ideal candidate will demonstrate exceptional problem-solving abilities, effective influence, and consultative skills to elevate the client experience. A strong aptitude for technology, attention to detail, and a willingness to learn new tools and investment products are essential. A comprehensive understanding of financial planning concepts and proven experience in customer service and client support are required. This role demands a high level of integrity, discretion, and professionalism in managing confidential information, along with the ability to collaborate effectively within a team environment.

Key Responsibilities:

  • Responding to incoming phone calls.
  • Scheduling and confirming appointments with clients and vendors.
  • Coordinating logistics for meetings, including transportation and meals.
  • Processing new accounts, transfers, and requests for funds.
  • Assisting in the collection of client financial information.
  • Collaborating with clients and advisors to resolve inquiries and follow up on action items.
  • Conducting follow-up communications with clients and vendors.
  • Drafting client correspondence.
  • Preparing for and attending client meetings.
  • Maintaining records in our internal systems and financial planning software.
  • Performing general administrative tasks as needed.
  • Assisting in the planning of client events.

Essential Qualifications:

  • Bachelor's degree in business or a related field.
  • Experience in customer service, with the ability to engage effectively with clients in a dynamic environment.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, SharePoint, and Zoom.
  • Comprehensive training will be provided to prepare for FINRA licensing exams during the initial onboarding period.
  • Support for additional licensing such as CFP and CFA will also be available.
