Position Overview: We are currently seeking a Client Service Administrative Associate to provide essential support to our offices. Additionally, you will play a vital role in coordinating and following up on client financial management and planning reviews.

We are in search of a qualified and dynamic individual eager to embark on a career path within wealth advisory. The ideal candidate will demonstrate exceptional problem-solving abilities, effective influence, and consultative skills to enhance the client experience. Proficiency with technology, attention to detail, and a willingness to learn new tools and investment products are essential. A broad understanding of general financial planning concepts, along with proven customer service and client support experience, is required. High integrity, discretion, and professionalism are crucial in handling sensitive information, and the ability to collaborate effectively within a team is necessary. This role requires a physical presence during standard business hours, with potential for limited domestic travel.

Key Responsibilities:

  • Responding to client phone inquiries.
  • Scheduling and confirming appointments with clients and vendors.
  • Coordinating logistics for meetings, including arrangements for parking, meals, and transportation.
  • Processing new account setups, transfers, and requests for funds, as well as applications for various financial products.
  • Assisting in the collection of client financial planning data.
  • Collaborating with clients and advisors to address questions and resolve outstanding issues.
  • Conducting follow-up communications with clients and vendors.
  • Drafting client correspondence.
  • Preparing for and attending client meetings.
  • Entering data into internal records, CRM systems, and financial planning software.
  • Performing general administrative tasks as needed.
  • Supporting the planning of client events.

Basic Qualifications:

  • Bachelor's degree in business or a related field.
  • Experience in customer service, with the ability to engage effectively with clients in a fast-paced setting.
  • Intermediate skills in Microsoft Outlook, Excel, Word, SharePoint, and Zoom.
  • Comprehensive training will be provided to prepare for necessary licensing exams.
  • Support for additional licensing such as CFP and CFA will also be available.
