Position Overview:
This role serves as the primary specialist for vehicle registration control within the Branch Operations unit.

The incumbent will deliver a broad spectrum of specialized DMV assistance to the Branches, enhancing efficiency and providing essential resources to Branch Management and Member Service personnel.

Key responsibilities include executing DMV control functions, balancing DMV transactions, and conducting daily audits in accordance with the regulations, policies, and procedures established by the Department of Motor Vehicles.

Additional responsibilities involve supporting the Branch through a DMV help desk, providing DMV electronic assistance, and potentially offering training and support to Branch staff. This position may also encompass select administrative tasks.


Core Responsibilities:
- Execute DMV balancing and perform daily audits of all DMV transactions.
- Maintain up-to-date knowledge of DMV regulations, policies, and procedures.
- Reconcile application review lists to identify inconsistencies or trends across various Branches.
- Process holdouts (DMV transactions requiring corrections) and complete daily audit checklists.

Financial Management:
- Verify accuracy of all funds and prepare bank deposits.
- Create check logs and submit necessary documentation.
- Maintain ledgers and assist in resolving discrepancies.
- Process office collection reports and communicate with members regarding outstanding funds.
- Organize office filing systems and generate DMV reports, including Office Collection, Password Security, Inventory Activity, and Production Statistics reports per Branch.
- Collaborate with Branch Management to secure necessary signatures and ensure compliance with retention guidelines.

Support Services:
- Respond to telephone and email inquiries to assist with DMV Help Desk and electronic support.
- Provide DMV supplies to Branches and offer audit support to ensure compliance.
- Submit documents and perform data entry as needed.
- Possess a thorough understanding of DMV bulletins and registration manuals.
- Carry out administrative duties for the DCU, including filing reports, mail distribution, and managing courier bags.
- Efficiently process automotive and cashiering transactions.
- Address all inquiries related to DMV policies and procedures to ensure proper handling of transactions.
- Independently perform a variety of DMV functions, requiring advanced knowledge of DMV regulations and club member relations policies to resolve complex issues.

Recognize which DMV activities can be addressed at the employee level and which require direct DMV or management intervention.


Qualifications:
- High School GED required.
- 1-3 years of experience in administrative assistance or clerical work preferred.
- 1-3 years of experience in Branch offices preferred.
- Advanced knowledge and training in DMV rules, regulations, and procedures preferred.
- Moderate skills in operating additional Branch equipment such as EICS and MRM Portal.
- Proficient in typing, Windows, Microsoft Office, Outlook, and Internet/Intranet access.
- General knowledge of Club systems required.

Work Environment:
Work is performed with moderate supervision, following established directions. Responsibilities are reviewed for accuracy and adequacy.

Provide solutions to a range of problems that are typically well-defined, requiring some judgment to determine the best course of action as additional information is gathered.


Resolution Timeline:
Tasks may vary in timeframe, with most requiring several weeks to resolve. Operate independently under general supervision for regular duties, referring complex cases to a supervisor.
Compensation:
The starting pay range for this position is: $28.09.

Additionally, eligibility for participation in an incentive program based on the achievement of organizational, team, and personal performance is provided.
