ROLE SUMMARY:
Under the guidance of the Senior Director of Human Resources, the HR Support Specialist plays a vital role in assisting the Human Resources and Volunteer Services Division. This position is essential for providing operational and program management support, ensuring that HR initiatives, programs, and processes are effective, innovative, and aligned with the Museum's strategic goals.
The specialist serves as a key resource for various team projects across all HR functions, including talent acquisition, employee relations, learning and development, HRIS administration, compensation and benefits, as well as intern and volunteer programs.
KEY RESPONSIBILITIES:
• Engage with 30-50 HR office visitors weekly, including staff, volunteers, interns, and applicants.
• Facilitate onboarding for new hires and manage over 100 interns annually.
• Conduct 2-4 employment verifications weekly.
• Support the implementation and process management for approximately 320 staff within the HRIS.
• Assist HRVS Divisional Leadership and their respective functional areas (4).
• Organize up to 24 new employee orientations, 12 meetings for the President's Office, and 2 Service Award celebrations each year.
WHAT YOU WILL DO:
Team Collaboration and Project Support:
• Employee Assistance: Act as the primary contact for the division, addressing general employee customer service inquiries.
• Project Involvement: Serve as a resource for various team projects across all HR functions, aiding in the planning, execution, and monitoring of HR initiatives.
• Administrative Duties: Provide comprehensive administrative support for the HRVS Leadership team, which may include scheduling meetings, ordering office supplies, managing employee communications, and organizing office space.
• Interdepartmental Collaboration: Build positive working relationships across the Museum, ensuring the HR division aligns with organizational objectives.
Employee Relations:
• Employee Support: Be a point of contact for employee inquiries and concerns, offering guidance on HR-related issues and escalating matters as necessary.
• Operational Assistance: Help with employee communications, draft and review letters, track internal cases, and manage documentation needs.
Learning and Development:
• Training Coordination: Assist in organizing logistics for training and development programs, track participation and feedback, and support the continuous improvement of training initiatives.
• Onboarding Facilitation: Aid in the onboarding process for new hires, including the creation and organization of materials and orientation setup.
HRIS Management:
• Data Oversight: Help maintain the HRIS system to ensure accurate and up-to-date employee records, supporting data integrity and confidentiality.
• Reporting and Analysis: Generate and analyze HR reports and metrics to assist in decision-making and strategic planning.
• Employee Assistance: Collaborate with the HRIS administrator to assist employees with HRIS login issues and basic account inquiries.

REPORTING STRUCTURE:
Reports to the Senior Director of Human Resources
COMPENSATION:
Exempt (Salaried) $50,000 - $60,000 annually
