Job Description: Treatment Coordinator

As a Treatment Coordinator at Orthodontic Experts Ltd, you will play a vital role in supporting our patients throughout their orthodontic journey. Your primary responsibility will be to communicate effectively with patients and their families, ensuring they understand their treatment plans and any changes that may occur.

Key Responsibilities:
  • Consult with patients to understand their oral health history, concerns, and objectives.
  • Explain treatment plans, address patient concerns, and answer questions.
  • Assist patients in prioritizing treatment and establishing a plan for scheduling and payment arrangements.
  • Conduct financial consultations with new patients and existing patients when new treatment plans are presented.
  • Manage and maintain payment options and policies for patients.
  • Understand the practice's policy on working with Ortho benefit plans and educate patients on their dental benefits.
  • Communicate with outside and third-party financing companies and educate patients on available financing options.
  • Track patient accounts receivable and outstanding balances to ensure timely payment.
  • Assist in the practice's collections protocol for outstanding balances.
  • Introduce new patients to the practice, explaining health history, the doctor's examination, and other practice features.
  • Conduct treatment consultations with new patients and existing patients when new treatment plans are presented.
  • Update the TC Spreadsheet daily.
  • Conduct outbound calls to patients (welcome calls, lost cases, denials, etc.).
  • Greet and check patients in and out before and after treatment.
  • Participate in marketing events.
  • Cash handling.
  • Answer incoming calls, including new patient calls, emergencies, scheduling appointments, requesting records, and follow-ups.
  • Perform administrative tasks and maintain a clean/sanitized clinic/office area.
Requirements:
  • High school degree or GED equivalent.
  • 3 years of customer service experience.
  • 2 years of sales experience.
  • 1 year of Treatment Coordinating experience.
  • Knowledge of medical terms and practices.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Excellent problem-solving and de-escalation skills.
  • Excellent written and verbal communication skills.
