Position Overview

The Finance & Portfolio Operations Analyst will report directly to the COO/CFO and will be instrumental in managing critical aspects of our data management processes. This includes systematizing the firm's portfolio and fund management requirements, encompassing deal execution, portfolio data collection, investor reporting, and related analytics.

This role offers exposure to various facets of Activate and involves direct interaction with both the finance and investment teams. Please note that this position is not focused on investment activities and does not lead to a career path as an investor at Activate.

Key Responsibilities

Portfolio Management

  • Oversee the comprehensive portfolio data management process, from financial and KPI collection to quality control and data presentation for internal and external stakeholders.
  • Manage various data aggregation tools, including third-party platforms for portfolio monitoring, fund cash flows, ESG metric collection, and due diligence processes.
  • Implement best practices for the storage and management of portfolio company and fund-level data, ensuring efficient reporting across the firm's workflows.
  • Collaborate with investment and finance teams to support quarterly valuation processes and manage investment cash flows.
  • Prepare ad-hoc financial models, analyses, and presentations on fund and portfolio company performance.

Reporting

  • Assist in the preparation of quarterly, annual, and ad hoc reports for limited partners and prospective investors.
  • Coordinate the collection of impact metrics from the portfolio for the annual sustainability report.
  • Aggregate and present portfolio company and fund data in various formats including tables, slides, and charts.
  • Respond to inquiries from investors regarding portfolio company data, including financials and ESG metrics.
  • Support marketing initiatives related to investment announcements.

Additional Responsibilities

  • Participate in fundraising workstreams, including data room preparation and management, and document drafting and review.
  • Utilize various data sources to conduct research essential to investment, finance, and fundraising activities.
  • Continuously seek improvements in internal systems and processes through tool development and automation.
  • Perform other ad hoc duties and projects as assigned.

Essential Skills and Qualifications

  • Strong proficiency in data analysis and management methodologies.
  • Exceptional Excel skills, with the ability to model and forecast financial data; proficiency in Word, PowerPoint, and Outlook is also required.
  • Solid understanding of financial statements, with basic accounting knowledge; valuation knowledge is a plus.
  • Attention to detail, strong organizational skills, and the ability to manage time effectively in a dynamic environment.
  • Proactive project management skills with a collaborative mindset.
  • Desire to develop, test, and operationalize tools and processes, with a curiosity to ensure their effectiveness.
  • Willingness to work cross-functionally and a strong desire to learn about the nuances of venture capital.

Experience Requirements

  • 2-4 years of experience as an analyst in a financial or business data analyst role, preferably within an accounting firm, corporate environment, or credit/commercial bank.
  • A bachelor's degree is required; a degree in Accounting or Finance is preferred.
