About the Role

We're seeking a highly organized and detail-oriented Facilities Operations Coordinator to join our team. As a key contributor to our growing company, you'll be responsible for executing the efficient operation of facilities management activities, including procurement, inventory management, dispatching, deploying resources, and following up on work orders.

Key Responsibilities

  • Use ticketing software to respond to issues, deploy resources, and communicate resolution.
  • Coordinate routine preventative and as-needed maintenance of facilities.
  • Manage vendor relationships and various outsourced personnel to ensure maintenance issues are resolved to satisfaction and in accordance with service level agreements and not-to-exceed thresholds.
  • Solicit and evaluate bids, selecting vendors for approval as needed.
  • Own inventory management for on-site and off-site storage, ensuring accurate tracking and optimization of resources.
  • Procure facility-related supplies and services.
  • Manage site security monitoring systems, janitorial services, and utilities.
  • Ensure compliance with safety standards and local, state and federal requirements.
  • Adapt communication to effectively engage and collaborate with cross-departmental team members, vendors, and customers.
  • Use data and experience to drive effective decision-making.

Additional Responsibilities

  • Coordinate departmental support for new store openings, remodels and special company projects.
  • Be immediately available to assist with any property emergency as requested such as fire, or weather emergency.
  • Responsible for overseeing the emergency plans implemented for each site.

Requirements

  • 3+ years of demonstrated experience managing facility projects.
  • Excellent oral and written English communication skills, planning and organization skills, and negotiation skills.
  • Good mathematical and interpersonal skills.
  • Ability to use electronic databases to manage complex facility projects effectively – proficient in excel, word and power point application.
  • Basic knowledge of building maintenance activities, including HVAC, carpentry, electrical, and salon equipment and maintenance repair.
  • Familiarity with Service Channel or comparable software preferred.
