Position Overview

This role is integral to fulfilling the organization's reporting obligations to state authorities and internal stakeholders. The incumbent will assist in the state reporting of expenses and draw requests, compile obligation reports for internal partners, coordinate financial data for auditors, and review policies and procedures. This position ensures that all grant-related activities adhere to Federal and State regulations, as well as PWI policies, guidelines, and organizational objectives.

Key Responsibilities

1. Generate reports that deliver analytical, forecasting, and reporting support for management and other key stakeholders.

2. Prepare expenditure and draw schedules for sub-recipients with detailed documentation according to established protocols and timelines.

3. Develop and analyze contract obligation schedules in accordance with set guidelines and timelines.

4. Conduct monthly reconciliations of the Philadelphia Works Inc. grants portfolio to aid management decision-making processes.

5. Produce Ad Hoc statistical and fiscal reports as requested.

6. Utilize accounting and contractual databases to enter, verify, and back up data for planning, building, and maintaining custom data collection applications.

7. Actively engage in process improvement initiatives, including automation and efficiency projects.

8. Assist in the creation and maintenance of Financial Reporting Policy and Procedure documentation.

9. Support the execution of audits and monitoring by Federal, State, and Internal personnel.

10. Promote a culture of reliance on all Accounting and Contracts systems for financial information.

11. Collaborate with the Sr. Manager of Financial Reporting to address and coordinate the resolution of issues related to Grant Reporting.

12. Undertake or assist with ad-hoc or special projects as assigned.

Qualifications

Education and Experience

A Bachelor's Degree from an accredited institution in Finance or Accounting, coupled with a minimum of 3 years of experience in accounting and financial auditing/compliance. Experience in a non-profit accounting environment for Federal/State Grants and Contracts is preferred. Some local travel may be required. Alternatively, any combination of education and experience deemed acceptable.

Skills and Competencies

  • Familiarity with TANF and WIOA regulations concerning eligibility and program criteria is preferred.
  • Understanding of government regulations and contractual guidelines (GASB, OMB, 2CFR 200) is preferred.
  • Intermediate proficiency in Microsoft Word and Excel, as well as automated accounting systems.
  • Strong communication skills, both verbal and written.
  • Exceptional organizational skills and meticulous attention to detail.
  • Experience with MIP Accounting Software is preferred.
  • Ability to meet deadlines consistently.
  • Capability to work effectively with individuals from diverse economic, educational, and cultural backgrounds, as well as various governmental officials.
  • Possess strong analytical and problem-solving abilities.
  • Demonstrate a results-driven mindset.
