Administrative Assistant (Part-Time) Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant (Part-Time) to support our busy office in Salt Lake City. This is an in-office position that requires a proactive individual who can manage daily administrative tasks efficiently and provide excellent support to our team.

Key Responsibilities:
  • Coordinate executive calendars, schedule appointments, and organize meetings.
  • Assist with arranging executive travel as requested.
  • Assist executives in tracking and submitting expense reports as requested.
  • Maintain accurate records of contracts and associated paperwork.
  • Manage incoming and outgoing mail, shipments, and deliveries.
  • Prepare and draft professional correspondence and communications.
  • Assist in preparing meeting agendas and materials.
  • Assist with meeting accommodations as necessary.
  • Answer emails and calls promptly, addressing inquiries as needed.
  • Manage and order office supplies.
  • Assist with planning and organizing company events, meetings, and functions.
  • Keep track of project timelines and update project documentation regularly.
  • Coordinate with team members to ensure project milestones are met on schedule.
Qualifications:
  • Bachelor's degree preferred.
  • Proven experience in an administrative assistant or office support role.
  • Must be able to work with minimal supervision, take ownership of key responsibilities.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Solution-driven mindset.
  • Attention to detail and ability to work independently.
  • Must be able to work on-site in Salt Lake City, Utah.
