Senior Administrative Coordinator

Job Summary:
We are seeking a highly organized and detail-oriented Senior Executive Assistant to provide dedicated support to four senior executives. The ideal candidate will excel in managing complex schedules, coordinating travel arrangements, and handling expense reports.
Responsibilities:
- Calendar Management: Efficiently manage and coordinate complex calendars for four executives, ensuring alignment of priorities, timely responses to scheduling requests, and seamless scheduling of meetings and appointments.
- Travel Arrangements: Plan, book, and manage both domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries. Ensure all travel complies with company policies and meets the preferences of each executive.
- Expense Management: Track, manage, and submit expense reports for executives in a timely and accurate manner, ensuring compliance with company policies. Reconcile credit card statements and other financial documents.
- Meeting Support: Coordinate logistics for in-person and virtual meetings, including securing meeting rooms, adding any in-person visitors to security and ensuring smooth execution.
- Communication: Act as a primary point of contact for internal and external communications on behalf of the executives.
- Confidentiality & Discretion: Handle sensitive and confidential information with the utmost care and professionalism, ensuring trust and confidence from the executives.
- Relationship Management: Liaise with other EAs, departments, and external stakeholders to ensure effective communication and coordination on behalf of the executives.
Requirements:
- Minimum of 7 years of experience in an executive assistant role, preferably supporting multiple senior executives (VP and above).
- High School Diploma required, Bachelor's degree preferred.
