Office Assistant

Oakland Family Services is seeking a highly skilled and detail-oriented Office Assistant to join our team. As a key member of our administrative staff, you will provide exceptional support to our clinicians and staff, ensuring the smooth operation of our office.
Responsibilities- Perform a variety of word processing duties, including producing documents from case records, correspondence, schedules, reports, and charts.
- Acquire and maintain a working knowledge of our Electronic Health Records system.
- Compile and maintain case records for the Specialized Services for Youth department, adhering to chart protocols.
- Provide exceptional customer service, ensuring a welcoming environment for our clients and directing them appropriately.
- Compile and monitor statistical information, conducting daily routines as required.
- Operate office machines, fax machines, and perform other similar work as assigned.
- Manage the telephone system, taking and distributing messages to key personnel.
- Welcome and direct visitors, providing information and conveying messages as necessary.
- Develop a basic knowledge of our agency, services offered, and key personnel responsibilities.
- Embody principles of diversity, equity, and inclusion in work processes and job functions, promoting a welcoming, belonging, and acceptance environment for all clients and staff.
- High School graduate or equivalent, with training in word processing, typing, communications, and general office procedures.
- Knowledge of Microsoft Office software.
- Computer skills, including data entry and use of electronic records.
- Strong customer service skills and experience.
- Sensitivity to the diversity of our service population, including differences of culture, race, religion, gender, sexual orientation, and socioeconomic status.
