We are looking for a skilled Client Support Specialist to enhance our front desk operations in a part-time capacity, focusing on morning and weekend shifts.

As a Client Support Specialist, you will serve as the initial point of contact for clients seeking urgent veterinary services for their pets.

This position demands a professional and compassionate individual with prior experience in a veterinary or medical reception environment.


Key Responsibilities:
Client Engagement:
1. Welcome clients and their pets with warmth and professionalism upon arrival.
2. Respond to phone inquiries promptly, providing information about services, appointment scheduling, and emergency protocols.
3. Assist clients with the check-in and check-out processes, including payment handling and insurance claim processing.

Administrative Functions:
1. Maintain organized and accurate client records, ensuring all information is current and well-documented.
2. Schedule and oversee appointments, including emergency visits and follow-ups with specialists.
3. Collaborate with veterinary staff to communicate essential updates regarding patient care.

Facility Oversight:
1. Ensure the reception area is clean and organized, creating a welcoming atmosphere for clients and their pets.
2. Monitor inventory for front desk supplies, placing orders for replacements as necessary.

Communication and Assistance:
1. Deliver clear and empathetic communication to clients about their pets' care and treatment options.
2. Support the veterinary team by providing relevant client information and assisting with immediate needs.

Qualifications:
Experience:
Prior experience as a Client Support Specialist or in a similar reception role, preferably within a veterinary or medical context, is essential.
Familiarity with veterinary terminology and procedures is highly advantageous.

Skills:
1. Strong interpersonal and communication abilities, with the capacity to remain composed in high-pressure situations.
2. Proficiency in office software and electronic medical record systems.
