About the Role

We are seeking a highly organized and detail-oriented Proposal Coordinator to join our dynamic Public Sector Proposal Team at Iron Mountain. As a key member of our team, you will play a pivotal role in supporting our U.S. Federal and SLED Sales teams in tackling exciting proposal opportunities.

Key Responsibilities
  • Prepare and deliver compliant customer responses to RFQs and ITBs within defined timeframes.
  • Support qualification and information requests, including basic company information, proposal forms, resumes, or project information.
  • Support Iron Mountain's unsolicited proposal process, including document preparation and opportunity submission into our contract management system.
  • Provide assistance to the Sales Team to obtain verification of customer requirements from technical experts.
  • Work with the Sales Team to enter opportunities into our contract management system within 24 hours of receipt of request forms.
  • Coordinate resource availability with the Proposal Team's Manager and capture assignments into proposal tracking tools.
  • Facilitate access to proposal areas, collaboration sites/tools, and proposal content libraries.
  • Maintain a database of customer portal log-in information, proposal tracking resources, and customer portal log-in information.
  • Support the maintenance of core proposal resources.
Requirements
  • Bachelor's Degree and 1 year of related experience.
  • Strong knowledge of MS Office suite, Adobe Professional, and preferred experience with the Google Suite (Docs, Sheets, Slides).
  • Superior organizational skills, with special attention to detail, and time management skills.
  • Demonstrated ability to multi-task, work in a fast-paced environment, and meet deadlines.
  • Familiarity of industry proposal best practices in government contracting (i.e. Shipley or APMP).
  • Working understanding of the government acquisition process and regulations.
  • Working knowledge of Responsive (formerly RFPIO) database or similar proposal automation software.
  • Ability to work independently.
