Position Overview

Oversee, coordinate, and execute business office operations under the guidance of the Administrator, adhering to established accounting standards.

Key Responsibilities
  • Generate and submit reports promptly as required by the Administrator, the organization, and regulatory bodies.
  • Collect and maintain, in an orderly fashion, essential statistics related to admissions, discharges, deaths, transfers, and daily resident census.
  • Prepare and issue monthly billing statements for services rendered.
  • Manage monthly Medicaid, Medicare, and other insurance claims, ensuring timely follow-up on outstanding payments.
  • Oversee and optimize the accounts receivable collection process.
  • Actively pursue overdue accounts and maintain appropriate documentation.
  • Gather and submit all necessary paperwork to bill third-party payers in accordance with program and company protocols.
  • Maintain comprehensive financial records, including cash receipts, disbursements, accounts receivable, accounts payable, payroll journals, and general ledgers as instructed.
  • Attend departmental meetings, seminars, and workshops, as approved, to stay informed on State and Federal regulations related to bookkeeping practices.
  • Ensure daily bank deposits are executed and reconcile all facility cash and checking accounts.
  • Confirm that resident trust accounts are accurately documented.
  • Provide statistical data for audits and reimbursements during year-end processing.
  • Maintain precise records of patient trust funds, including monthly reconciliations and quarterly statements to responsible parties. Reconcile petty cash for Patient Trust Fund on a daily basis.
  • Engage in the resident admission process by explaining the facility's pricing, billing cycles, and payment terms, including collecting the initial month's advance payment upon admission.
  • Supervise and manage other clerical staff within the business office as assigned.
Qualifications, Education, and Experience
  • Degree in Business or relevant experience in a healthcare facility; office management experience preferred.
  • Highly organized and detail-oriented in work execution.
  • Strong communication skills with a high degree of self-discipline and patience.
  • Genuine compassion for and interest in elderly and disabled individuals in a healthcare setting.
  • Adhere to Residents' Rights and Facility Policies and Procedures.
