Senior Administrative Specialist

**About the Position**
This Senior Administrative Specialist role is located in Topeka, at the Eisenhower State Office Building, and is within the Bureau of Maintenance. As a key member of our team, you will be responsible for assisting with the administrative and operational duties of the KSICS Public Safety Radio Communication System that serves governmental agencies and numerous public safety agencies.
The ideal candidate will have six months of experience in general office, clerical and administrative support work, or equivalent education may be substituted for experience as determined relevant by the agency. A valid driver's license at time of appointment is also required.
**Key Responsibilities**
Process shared-user agreements and Advanced System Key agreements with external customers on the KSICS Public Safety Radio Communication System.
Issue purchase orders/requests for the Bureau of Maintenance Communications Section and payment of invoices when received.
Enter requisitions and payments into the SMART system for the Communications Section and any miscellaneous purchases incurred by the Bureau.
Provide assistance to both internal and external users of the KSICS Public Safety Radio Communication System, including providing users with development of fleet maps and talk groups for use on the State radio system.
Assist with administering the Control Account for Procurement Visa Card purchases for the Communications Section, reconciles charges incurred from the procurement cards and audits purchases from logs for accuracy and adherence to state purchasing guideline.
Enter coding and description into the SMART system, provide training and answers inquiries from card holders, and provides documentation for audits.
Assist with assignment of capital equipment DOT numbers and provides data entry for the equipment capital inventory.
Submit customer invoices and works with KDOT fiscal personnel to document payment for services provided to customers.
Processes personnel transactions for Bureau of Maintenance employees, provides employee orientation and training, maintains employee personnel files, participates on interview teams when requested, processes requests for building secure key cards, supervises the keying of employee time for the Bureau, provides coding instructions, maintains records for employee leave balances, and prepares reports.
Audits and submits payments for travel and Personal Protection Equipment (PPE) Reimbursements for Bureau employees, provides training to employees in completing travel forms, and tracks PPE reimbursement payments.
Assists with the processing/closeout of any tower lease documents for existing customers with both internal and external legal/financial personnel.
Educational Requirements:
- Six months of experience in general office, clerical and administrative support work.
- Education may be substituted for experience as determined relevant by the agency.
Work Schedule:
Monday - Friday, eligible to receive benefits, veterans' preference eligible, and classified/unclassified service: unclassified, full/part-time: full-time, regular/temporary: regular.
**Compensation:**
We offer an estimated annual salary range of $34,444.80 - $40,872.00 and an hourly pay range of $16.56 - $19.65.
