Position Overview:
Our client, a prominent player in the entertainment sector, is seeking an Administrative Coordinator to provide comprehensive support to senior executives. This role will involve a hybrid work schedule, combining both in-office and remote work.
- Compensation: $35/hr
Key Responsibilities:
- Effectively manages daily operations to assist executive leadership.
- Exhibits a high degree of professionalism and a positive service orientation, with exceptional attention to detail and organizational capabilities.
- Arranges appointments, meetings, and locations autonomously; organizes programs or events; plans and schedules tasks for office support; may represent the department in meetings, and prepares necessary materials.
- Oversees executives' calendars, including travel arrangements and registrations.
- Coordinates a variety of large or intricate events and meetings, which may involve multiple stakeholders, international travel, technology, and catering.
- Handles a wide range of inquiries; provides guidance on office policies and procedures; communicates with individuals both inside and outside the division on sensitive matters.
- Drafts complex and sensitive correspondence requiring a high level of initiative, judgment, and originality.
- Collects and processes data related to visa applications.
- Maintains office equipment and manages inventory.
- Provides support for programs or projects; prepares materials and assists in managing timelines and tasks; oversees program or project calendars.
- Develops program or project timelines and tasks; may be responsible for managing smaller projects.
- Generates and distributes accurately prepared reports, proposals, presentations, or other relevant documents.
- Creates, compiles, and maintains standard spreadsheets, databases, or reports.
Required Qualifications:
- Bachelor's degree in a relevant field.
- A minimum of 3 years of pertinent experience.
- Proficiency in Microsoft Office applications (Outlook, Word, PowerPoint, Excel).
- Understanding of administrative functions and processes.
- Strong verbal and written communication skills, with the ability to engage at all organizational levels.
- Proven capability to handle confidential information with sound judgment and decision-making.
- Demonstrated ability to prioritize tasks, meet deadlines, and adapt quickly to changing circumstances.
