The Administrative Assistant provides critical support to the College of Engineering and Computing’s Undergraduate Student Services Office. This role involves managing academic requests, serving as a resource for students, faculty, and staff, and preparing and disseminating program-related information.
Key Responsibilities- Support student requests, verify documents, and communicate decisions
- Maintain accurate records and logs of requests and actions
- Respond to inquiries via phone and email, and maintain electronic student file folders
- Stay up-to-date on university and CEC academic policies and processes
- Prepare and send commendation emails for students on the Dean’s List
- Develop and maintain relationships with staff across campus offering services to undergraduate students
- Serve as the first point of contact for calls, visitors, and general email inquiries
- Assess and manage requests from prospective and current students, resolving and/or directing inquiries appropriately
- Manage facilities work orders, maintain bulletin boards, and keep an inventory of supplies
- Serve as a backup contact and support for CEC Peer Mentors
- Support CEC Undergraduate Student Services Office at university orientation sessions, research celebrations, and other events
- Assist with event planning, communication, and day-of event activities
Requirements
- High school diploma or equivalent
- Experience working in an office setting
- Experience as a front office first point of contact
- Experience with confidential record keeping
- Knowledge of general office practices and equipment
- Demonstrated written, oral, and interpersonal communication skills
- Demonstrated problem-solving skills
- Demonstrated skill in working as part of a team
- Proficiency in Microsoft Office Suite
- Aptitude to learn new software and internet applications
- Ability to coordinate multiple activities simultaneously and prioritize items of importance
- Ability to exercise independent, sound judgment with accuracy and attention to detail
- Ability to maintain confidentiality and accuracy in dealing with clients and academic requests
Preferred Qualifications
- Bachelor’s degree in a related field
- Work experience in higher education
- Experience with Banner, eVA, and Patriot Web
- Experience with event planning
- Experience creating marketing materials
- General knowledge of university policies and procedures
- Knowledge of university resources
