Administrative Assistant Role

HDR is seeking a skilled Administrative Assistant to provide essential support to our office operations. As a key member of our team, you will assist the local quality coordinator and gain valuable experience in the engineering industry.
Key ResponsibilitiesSome of your key duties will include:
- Providing administrative support, including phone coverage, meeting scheduling, and expense report processing.
- Organizing and maintaining reports, documents, and records.
- Managing office supplies and maintaining inventory levels.
- Tracking and managing office and project expenses with accurate reporting.
- Coordinating meeting arrangements, including food orders, welcome guests, manage sign-in/out, and handle parking validations and accounts.
- Working with building management and facilities as needed.
- Maintaining overall office cleanliness and organization.
- Supporting Project Managers with electronic folder management.
- Supporting Quality Lead when applicable with Data Entry, QC Reporting, and QC Final File storage.
- Assisting with Quality management System audits during corporate audit cycles.
- Collaborating with Project Management, Marketing, and accounting teams as needed.
We are looking for candidates with:
- An Associate or Bachelor's degree in Business Administration or a related field.
- Experience with Adobe InDesign, a plus.
- Knowledge of the A/E industry, desired.
- Excel proficiency.
- Preference given to local candidates.
To be successful in this role, you will need:
- A High School diploma or equivalent.
- Excellent verbal and written communication skills, including grammar, punctuation, proofreading, spelling, and telephone skills.
- Flexibility and the ability to prioritize and handle multiple tasks and various managers in a fast-paced environment.
- Self-motivation, organization, and attention to detail.
- Ability to handle confidential information.
- Proficiency with MS Office, including Word and Outlook.
- An attitude and commitment to being an active participant of our employee-owned culture.
