Job Summary

HDR is seeking a skilled Administrative Assistant to provide essential support to our office operations. As a key member of our team, you will assist the local quality coordinator and gain valuable experience in the engineering industry.

Key Responsibilities

Some of your key duties will include:

  • Providing administrative support, including phone coverage, meeting scheduling, and expense report processing.
  • Organizing and maintaining reports, documents, and records.
  • Managing office supplies and maintaining inventory levels.
  • Tracking and managing office and project expenses with accurate reporting.
  • Coordinating meeting arrangements, including food orders, welcome guests, manage sign-in/out, and handle parking validations and accounts.
  • Working with building management and facilities as needed.
  • Maintaining overall office cleanliness and organization.
  • Supporting Project Managers with electronic folder management.
  • Supporting Quality Lead when applicable with Data Entry, QC Reporting, and QC Final File storage.
  • Assisting with Quality management System audits during corporate audit cycles.
  • Collaborating with Project Management, Marketing, and accounting teams as needed.
Preferred Qualifications

We are looking for candidates with:

  • An Associate or Bachelor's degree in Business Administration or a related field.
  • Experience with Adobe InDesign, a plus.
  • Knowledge of the A/E industry, desired.
  • Excel proficiency.
  • Preference given to local candidates.
Requirements

To be successful in this role, you will need:

  • A High School diploma or equivalent.
  • Excellent verbal and written communication skills, including grammar, punctuation, proofreading, spelling, and telephone skills.
  • Flexibility and the ability to prioritize and handle multiple tasks and various managers in a fast-paced environment.
  • Self-motivation, organization, and attention to detail.
  • Ability to handle confidential information.
  • Proficiency with MS Office, including Word and Outlook.
  • An attitude and commitment to being an active participant of our employee-owned culture.
