Position Summary:

The Orthodontic Benefits Treatment Coordinator (BTC) plays a crucial role in guiding patients through their treatment options and associated costs. Acting as a bridge between the orthodontist and the patient, the BTC assists in gathering essential information during the initial patient experience, coordinates treatment plans with the orthodontist, and presents these plans to patients. With a deep understanding of treatment processes and timelines, the BTC is equipped to negotiate financial arrangements, ensuring a supportive and reassuring environment for patients who may feel anxious about their dental care costs. The BTC also collaborates with other offices involved in patient care, ensuring seamless communication regarding referrals and follow-ups. Additionally, the BTC may handle certain internal accounting tasks that align with the practice's financial objectives. Exceptional communication skills are paramount, as the BTC is expected to be the foremost communicator within the practice. Ultimately, the primary focus of all staff members is patient care and satisfaction.

Key Responsibilities:

  • Achieve daily, monthly, and annual production and collection targets.
  • Meet or exceed monthly and quarterly case acceptance and completion ratios for significant treatments.
  • Receive positive feedback from patients regarding their experiences.
  • Maintain a no-show and cancellation rate below 5%.
  • Attend comprehensive exams to fully understand patient treatment needs.
  • Assist during re-care exams as necessary to comprehend patient treatment requirements.
  • Ensure patients have a clear understanding of their treatment plans.
  • Address any objections to proposed treatments effectively.
  • Present treatment costs and financial options to facilitate patient decisions.
  • Educate patients about their dental benefits as needed.
  • Complete daily insurance verifications and maintain knowledge of benefit eligibility and limitations.
  • Keep patients informed about their financial responsibilities.
  • Follow up on unscheduled treatments.
  • Manage the submission, tracking, and follow-up of pre-authorizations.

Practice Management:

  • Ensure the consultation area is tidy, organized, and welcoming.
  • Encourage satisfied patients to provide referrals or online testimonials.
  • Express gratitude to patients who have positively impacted the practice.
  • Complete a daily checklist of responsibilities.

Team Collaboration:

  • All front office staff should seek out tasks during slower periods to remain productive.
  • Maintain proactive communication with back office staff regarding any changes in patients' financial situations.
  • Participate in team huddles by sharing vital information for daily goals.
  • Utilize administrative time effectively to prepare for upcoming tasks.
  • Embody the core values of Wave Dental Professionals in all actions.
  • Assist with front desk duties, including patient check-in and check-out.

Qualifications:

  • *Experience in Orthodontics is required; this is a full-time position, 32 hours per week.*
  • High School Diploma or equivalent.
  • At least one year of relevant experience or a combination of education and experience.

Employment Status: Hourly, Non-Exempt.

Reports To: Operations Manager.
