Job Summary

Maintains operational and freight accounts payable, assists employees in sales and accounting departments, and performs data entry. Receives callers at the establishment, determines the nature of the business, performs receptionist duties, and assists with other office duties as necessary.

Key Responsibilities

  • Obtains approval of accounts payable invoices, posts all operational accounts payable, cuts checks, matches checks with vouchers, mails checks, and files copies.
  • Assists with COD payments, processes local direct shipments, and maintains outstanding check lists and wire payments logs.
  • Responds to vendor inquiries, collects and maintains W9s for 1099 purposes, sorts and distributes incoming and outgoing mail, logs daily paperwork from the yards, and distributes it.
  • Performs receptionist duties, including greeting visitors, operating a telephone console, directing calls, taking messages, arranging appointments, and typing memos, correspondence, reports, and other documents.

Requirements

  • Associate's degree preferred.
  • At least 2 years of experience in an administrative assistant role.
  • Ability to write short correspondence and memos, strong customer service skills, professionalism in representing the company to external parties, and proficiency in Microsoft Office Suite.
  • Bilingual in Spanish required, strong data entry skills, and ability to manage multiple priorities and tasks.
