Position Overview: We are seeking a proactive and detail-oriented Senior Administrative Coordinator to support our executive leadership team. This role involves providing comprehensive assistance to three C-Suite executives, requiring a blend of organizational prowess and interpersonal skills. The ideal candidate will possess a strong ability to anticipate needs and implement improvements that enhance the operational efficiency of the leadership team.

Key Responsibilities:

  • Oversee intricate scheduling and calendar management across multiple time zones.
  • Coordinate travel arrangements and manage expense reporting.
  • Plan and facilitate team events, including staff meetings, all-hands gatherings, off-site retreats, and social activities.
  • Monitor and drive the completion of critical deliverables while following up on pending tasks.
  • Assist with office management tasks, ensuring smooth operations in the San Francisco location.
  • Collaborate closely with the leadership team and other executive assistants on cross-functional projects.
  • Engage in document preparation and editing.
  • Register executives for conferences and liaise with the public relations team on external inquiries.

Qualifications:

  • 3-6+ years of experience in providing executive-level administrative support.
  • Experience in project management.
  • Proficiency in Google Workspace, Zoom, Microsoft Office, and Slack.
  • Background in event planning.
  • Exceptional organizational, communication, and interpersonal skills.
  • Proven ability to streamline processes and enhance efficiency.
  • High standards of integrity and discretion.
  • Meticulous attention to detail.
  • Self-motivated and organized, capable of working independently while coordinating with teams across various locations.
  • Ability to prioritize and manage multiple tasks simultaneously.
