Job Summary

We are seeking a highly skilled and organized Commercial Real Estate Coordinator to join our team at Transwestern. As a key member of our brokerage team, you will provide marketing, research, and administrative support to our team members, ensuring the delivery of exceptional results to our clients.

Key Responsibilities
  • Assist the brokerage team with marketing and PR strategy, including social media best practices and brand awareness initiatives.
  • Prepare proposals and presentation decks using various software packages, incorporating text, charts, tables, and other documents.
  • Support the development of new business and sales efforts, including leasing and marketing activities.
  • Respond to internal and external client requests for data and information, ensuring timely and accurate responses.
  • Review and approve internal and external collateral materials, ensuring consistency with company branding and messaging.
  • Develop and maintain business intelligence for the brokerage team, including financial analysis and market research.
  • Prepare correspondence on behalf of the brokerage team, including letters, confidentiality agreements, and marketing materials.
  • Coordinate projects from initiation to completion, ensuring timely and effective delivery.
  • Assist with the handling of broker requests for data and research information, providing accurate and timely responses.
  • Order and distribute client gifts and correspondence as assigned.
  • Support the completion of market surveys, data analysis, and other deliverables as assigned.
  • Assist with business development and pipeline management, monitoring deal activity in XRM or other databases.
  • Complete accounting tasks, including expense reports, pipeline entries, and deal sheets.
  • Coordinate travel arrangements for team members and support occasional broker/client events.
  • Maintain a professional, positive, and proactive performance at all times, providing exceptional customer service and support to clients and team members.
Requirements
  • Bachelor's degree in business, economics, real estate, or a related field preferred.
  • Minimum of 2-4 years of administrative experience in commercial real estate, with a focus on marketing, research, and sales support.
  • Real Estate Salesperson license preferred or willingness to obtain.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Access, as well as CRM/database management and social media platforms.
  • Excellent graphic design skills, with experience in Adobe InDesign, Photoshop, and Illustrator.
  • Strong writing and communication skills, with the ability to prepare accurate and engaging reports and presentations.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to maintain discretion and confidentiality regarding personnel and industry-related matters.
  • Strong work ethic and sense of responsibility, reliability, responsiveness, and customer service.
