Position Overview

The Claims Processing Specialist plays a crucial role in managing and organizing warranty claim information for both manufacturer and aftermarket services. After completing the necessary training, the specialist will be responsible for the accurate and timely submission of warranty claims, ensuring the collection of associated revenues.

Key Responsibilities

Your Role Will Include:

  • Gaining a thorough understanding of warranty policies and procedures from manufacturers and aftermarket providers.
  • Building and maintaining effective relationships with designated warranty representatives from manufacturers and aftermarket warranty companies.
  • Evaluating warranty repair orders for completeness, accuracy, and clarity in accordance with established guidelines.
  • Returning any incomplete or inaccurate repair orders to the originating personnel for necessary corrections.
  • Identifying the correct labor operation codes, failure codes, and other essential administrative data to be recorded on repair orders.
  • Documenting the appropriate technicians for hours worked on specific operations.
  • Cross-referencing each repair order with the vehicle's service history to ensure accuracy.
  • Monitoring the application of special warranty programs to guarantee staff compliance and accuracy.
  • Reporting any instances of abuse or fraudulent activities related to warranty claims to management.
  • Submitting warranty claims to the respective manufacturer or warranty company.
  • Collaborating with the accounting department to verify the collection of receivables and to resolve any discrepancies between the claimed amount and the payment received.
  • Ensuring that all deductibles are accurately documented for collection from customers at the time of service completion.
  • Reviewing all denied warranty claims and making necessary adjustments for resubmission.
  • Contacting warranty claims representatives for any claims that require special authorization.
  • Maintaining a comprehensive record of all claims (submitted, denied, paid) along with their current status.
  • Keeping track of the physical inventory of parts designated for return, inspection, or disposal by the manufacturer or warranty authority.
  • Providing weekly updates to management regarding the status of claims.
  • Maintaining a warranty claims acceptance rate of at least 90% and ensuring that warranty receivables are managed within a 30-day timeframe.
  • Coordinating with vendors and/or service shops to deliver exceptional customer service.
  • Issuing purchase orders for breakdowns and completing them upon receipt of invoices, forwarding them to the appropriate branch for final approval.
  • Receiving and processing completed preventive maintenance listings from service shops on a weekly basis.
  • Updating the Master Preventive Maintenance run and distributing it to shops weekly.

Qualifications

Ideal Candidate Will Have:

  • Experience in a Claims Processing or Warranty Administrator role within the automotive or trucking industry.
  • A strong administrative background with excellent organizational skills, attention to detail, and a willingness to learn.
  • The ability to read and understand instructions and effectively communicate across various levels of the organization.
  • A minimum of two years of experience in a general office environment.
  • Proficiency in learning and utilizing different software applications, as well as the ability to interpret vendor catalogs.
  • Outstanding verbal and written communication skills.
