About the Role

We are seeking a highly motivated and organized professional to join our operations team at Friends of the Children. The Operations Coordinator will play a critical role in supporting the ongoing operations of the organization, ensuring that all functions are running optimally.

Key Responsibilities

  • Organizational Support (50%):
    • Serve as the first point of contact for visitors and callers, directing them to the appropriate person for assistance.
    • Maintain the organization-wide calendar.
    • Develop and maintain office procedures, including effective filing systems.
    • Distribute month-end reports to leadership, including expense, credit card, and time reports.
    • Distribute mail and order office supplies.
    • Manage vendors for IT and facilities, including Convergence, T-Mobile, GPS, and building management.
    • Complete other projects as assigned.
  • Facilities (20%):
    • Responsible for day-to-day facilities management, serving as the staff contact for all facility needs.
    • Manage facilities operations, including scheduling meeting rooms.
    • Develop systems for staff to communicate schedules and ensure rooms are set up for programs and events.
    • Research, select, and manage contractors as needed.
  • IT (30%):
    • Set up computers and phones, install software, and manage email accounts.
    • Troubleshoot IT problems, serving as the in-house desktop support person for simple tech issues.
    • Work with the IT support firm, operating as the initial point of contact for staff on technology issues.
    • Monitor the IT firm's work and manage tickets.
    • Manage the coordination of phone and internet service vendors for the organization.
    • Initiate new ideas for systems that could increase efficiency and enhance the use of technology for staff.

Requirements

  • A minimum of three years' experience in an administrative or operations position.
  • A valid Illinois driver's license, own vehicle, and safe driving record.
  • Ability to cultivate and sustain relationships and work effectively with a wide variety of constituencies.
  • Ability to represent the organization effectively and professionally to a wide variety of audiences.
  • Ability to analyze, develop, propose, implement, and sustain solutions.
  • Ability to solve problems, work in a team environment, manage several issues concurrently, and meet deadlines in a fast-paced, dynamic work environment.

Preferred Qualifications

  • Completion of two years of college or more.
  • Familiarity with nonprofit organizations.
  • Basic knowledge of fundraising and events.
  • Database experience.
  • Experience working with children and families.

Compensation

Salary: $53,000

Competitive benefits, including health insurance, life insurance, 3 weeks of paid vacation, and 2 weeks of paid sick time per year.

We also offer a 401K Program with employer matching up to 4% after the initial 90 days of employment.
