Department Overview:


The Office of Extramural Fund Management (EFM) operates under the Office of Research Administration (ORA) and plays a crucial role in supporting the research initiatives at UCLA. This office provides essential leadership, professional guidance, and administrative support to faculty, departmental administrators, and students.

Reporting directly to the Extramural Fund Management Manager, the incumbent will be responsible for ensuring the financial integrity of sponsored funds.

Role Overview:
In this role, you will work closely with the Extramural Fund Management Manager to uphold the financial stewardship of sponsored funds.

Your responsibilities will include analyzing and reviewing expenditures, identifying compliance policy breaches, communicating issues to campus department personnel, facilitating the resolution of outstanding matters, and preparing intricate financial reports and invoices in accordance with university, sponsor, and federal regulations.

You will also serve as a backup to the manager during their absence and will possess the authority to approve invoices and financial reports. Additionally, you will be responsible for training team members and ensuring that the necessary system accesses are granted.

It is essential to review and validate the establishment of contracts and grants within the award management and financial systems of the university, stay updated on evolving regulatory requirements from various agencies, and provide guidance to the campus research community regarding the financial management of contracts and grants.

Required Qualifications:

A solid understanding of research administration guidelines from both Federal and non-Federal sponsors that support research and educational activities, ideally within a university context.

In-depth knowledge of compliance requirements related to the use of human or animal subjects in research, financial conflicts of interest, biosafety, etc.

Proven ability to manage a substantial volume of transactions. (Required)

Capability to conduct complex financial analyses and generate customized reports. (Required)

Demonstrated proficiency in utilizing spreadsheet and database software for financial analysis, fiscal management, and financial reporting. (Required)


Ability to exercise independent judgment; possess strong organizational and communication skills; and maintain a customer service orientation across diverse subject areas.
