Job Description

We are seeking an Operations Administrator to enhance the efficiency of the Caring Hearts team. This role involves supporting daily operations through administrative duties and delivering exceptional customer service to our clients and partners.

As an Operations Administrator, you will engage in a variety of tasks each day. The ability to multitask, prioritize effectively, and manage time is essential. Given the sensitive nature of the information we handle, confidentiality is paramount. We are looking for a forward-thinking individual who can adapt to the ever-evolving medical landscape.

Your primary responsibility will be to ensure that our office operations are seamless by executing administrative and supervisory tasks accurately and promptly.

Duties / Responsibilities:

  • Assist clients, patients, and staff in the absence of the Administrator.
  • Support patients and partners during their visits or calls to the office.
  • Maintain a tidy and organized office environment at all times.
  • Coordinate and assist with recruitment activities as necessary (prescreening, scheduling interviews, etc.).
  • Guide potential internal candidates through the onboarding process.
  • Schedule and coordinate appointments both internally and externally.
  • Manage staffing schedules effectively.
  • Oversee accounts receivable and payable, ensuring accurate financial records.
  • Ensure adherence to internal procedures and compliance.
  • Stay informed about relevant changes in the medical field.
  • Notarize documents as required.
  • Train new office personnel within the department.
  • Supervise the daily workflow of the administrative team.
  • Provide timely and constructive performance evaluations to the Administrator regarding office staff.
  • Perform additional duties as assigned.

  • Comprehensive understanding of operational policies and practices.
  • A proactive self-starter with prior experience as an Office or Operations Administrator.
  • Exceptional organizational skills, process-oriented, and capable of prioritizing various tasks.
  • Experience in medical administration is advantageous.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Suite.
  • Comfortable utilizing various tools and technologies daily.
  • Intellectually curious and open to suggesting improvements for business operations.
  • Able to work independently and interact effectively at all organizational levels while maintaining confidentiality.
  • Exceptional customer service skills.

Education and Experience:

  • High School Diploma, GED, or equivalent certification required.
  • A college degree is a plus.
  • Knowledge of healthcare operations is beneficial.
  • Licensed notary or willingness to obtain the license.
  • HR experience is an advantage.

Compensation & Location Details:

  • This is an hourly, non-exempt position.
  • Full-time availability is preferred.
  • This position requires on-premise work and is not remote.
  • The starting wage is $16.00, negotiable based on experience.

Note: A background investigation will be required for this position. Continued employment will be subject to the applicant's successful completion of a background security investigation and favorable adjudication. Failure to successfully meet these requirements will be grounds for immediate termination.
