Position Title: Operations Administrative Specialist

Minimum Qualifications Summary
Certification & Education:
- Must possess a SECRET Security Clearance
- Must hold a valid state driver's license

Experience Required:
- A minimum of 5 years of cumulative experience within the last decade in administrative and personnel management roles supporting the US Navy or equivalent DoD agency.
- Familiarity with Navy Standard Integrated Personnel System (NSIPS), SALESFORCE, Defense Ready, NTRMS, SOES, Navy Enlisted Advancement System (NEAS), Electronic Service Record (ESR), and Navy Family Accountability and Assessment System (NFAAS) is essential.
- Proficiency in Microsoft Office Suite is required.

Job Objective:
The Operations Administrative Specialist will provide essential support to NSWG-4 in various administrative and personnel services. Responsibilities include, but are not limited to, managing mail services, preparing and distributing correspondence, reporting and detaching personnel, processing security clearances, and drafting fitness reports and award packages. This role also involves data collection and drafting for various personnel actions.

Key Responsibilities:
- Assist with routine administrative and personnel services, including mail services, correspondence preparation and distribution, personnel reporting, security clearance processing, and drafting of fitness reports and award packages.
- Greet visitors and respond to inquiries regarding office procedures and policies.
- Manage draft documents by entering them into the tracking system, reviewing for completeness, preparing, proofreading, routing for review, and archiving according to established guidelines.
- Make non-substantive changes in real-time as needed.
- Maintain electronic documents for easy retrieval.
- Operate modern office equipment and manage both paper and electronic documents used in daily operations and archival activities.
- Assist in drafting Command award documents for individual awards, retirements, commissioning, and change of command ceremonies.
- Review documents/packages for completeness, prepare, proof, and route documents using Defense Ready.
- Maintain records of upcoming awards, awards ready for presentation, and awards already presented.
- Prepare and distribute monthly awards board notifications, and facilitate monthly awards boards.
- Prepare award packages for presentation at command ceremonies.
- Input completed awards documentation into the Navy Department Awards Web after obtaining necessary signatures.
