About the Role

As an Administrative Support Specialist at NBC Universal, you will play a vital role in ensuring the smooth operation of our administrative functions. This is a dynamic and exciting opportunity to work with a talented team and contribute to the success of our organization.

Job Summary

This position provides advanced administrative support to the Director and/or Assistant Director and their departments. The ideal candidate will have excellent organizational skills, strong communication abilities, and the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies. Coordinates with other departments and/or external sources.
  • Generates department correspondence and/or reports. Uses appropriate computer programs to analyze, compile, update and maintain department correspondence and/or reports. Disseminates data/information to the appropriate parties. Prepares expense reports. May create presentations and/or corresponding materials.
  • Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary.
  • Maintains executive(s)' and corresponding department's calendars, coordinates meetings, and/or sets appointments. Makes travel and/or training arrangements when necessary.
  • Provides administrative support, direction, guidance, and/or training to department. Serves as a liaison with other departments in acquiring and maintaining technology, supplies, onboarding, work space coordination, sourcing and other logistical needs through standard UO/UPR procedures.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities

  • Languages: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports, business correspondence, and procedure manuals. Ability to respond to common inquiries or complaints from customers/clients, regulatory agencies, or members of the business community.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to interpret spreadsheets and bar graphs
  • Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to deal with problems involving several concrete variables in standardized situations.
Benefits

We offer a competitive salary and benefits package, including medical, dental and vision insurance, 401(k), paid leave, and a variety of other discounts and perks. The estimated salary for this position is $55,000 - $65,000 per year, depending on experience.

A high school degree or GED is required; a bachelor's degree is preferred. 2 to 5 years of administrative assistant experience is also preferred. Proficiency in MS Word and Excel is required; proficiency in MS PowerPoint and Outlook is preferred. Familiarity with UDX systems is a plus. Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
