Administrative Support Specialist for Repair Operations

About the Role:
Big Circle Talent Recruiting seeks an Administrative Support Specialist to join our team in Central Florida. This exciting opportunity requires a skilled Office Administrator with excellent interpersonal, communication, and organization skills.
The ideal candidate will provide exceptional phone support, maintain accurate data, and process approvals efficiently. A strong preference is given to bilingual candidates proficient in English and Spanish, although not required.
Key Responsibilities:
- Offer top-notch phone assistance for incoming calls and email inquiries, gathering information and entering it into CRM systems.
- Ensure data quality by managing property management company contacts, removing duplicates, and maintaining accurate records.
- Determine repair qualifications and warranty processing within CRM and supporting systems.
- Enter key notes from property communications into CRM systems.
- Support estimator and repair technician schedules within CRM and schedule dashboards.
- Make outbound calls and assist with customer communication, including notifications and account updates.
- Maintain accurate property site maps, acquiring, uploading, and storing them for easy access.
- Assist with weekly subcontractor payroll and cost tracking.
- Provide backup support for credit report and lien processing.
- Aid in job setups, close-outs, and other administrative tasks.
