Job Overview

Position Summary

Tracy Motors Inc is currently looking for an Automotive Office Clerk to oversee various administrative functions within the office, focusing on Accounts Payable and Electronic Vehicle Registration tasks.

Key Responsibilities

  • Review all invoices and secure necessary payment approvals.
  • Prepare and issue accounts payable checks.
  • Daily posting of all outstanding items in accounts payable.
  • Generate accounts payable reports and maintain organized files.
  • Reconcile financial statements with the ledger to ensure alignment with dealership schedules.
  • Maintain cash schedules and manage petty cash systems.
  • Communicate cash requirements for payment dates to the office manager.
  • Audit freight bills against inquiries.
  • Analyze vendor accounts for discrepancies.
  • Provide the title clerk with details on all purchased vehicles for the title list.
  • Respond to vendor inquiries in a timely manner.
  • Reconcile bank balances on a daily basis.
  • Verify time cards, prepare worksheets for the office manager, and post payroll weekly.
  • Weekly posting of flat rate flag sheets.
  • Assist in the monthly closing processes.
  • Prepare account analyses as needed.
  • Support accounts receivable and special projects as required.
  • Maintain a professional appearance and ensure a tidy work environment.
  • Process all new and used vehicles for registration in the appropriate state.
  • Prepare tax and title documentation.
  • Submit all contracts and drafts to the appropriate lending institution for payment.
  • Handle all legal transfer work with the Department of Motor Vehicles.
  • Ensure funds are collected and the correct lien holder is paid off before processing title applications.
  • Verify accuracy in applications and ensure completeness of information.
  • Prepare dealer trades and Certificates of Origin while maintaining a system for out-of-state titles.
  • Compile and maintain a comprehensive list of all outstanding title work.
  • Report to management on the status of any missing or problematic titles and provide a current list of outstanding titles to the comptroller weekly.
  • Perform other duties as assigned.

Qualifications

To excel in this role, candidates must meet the following qualifications:

  • Experience in the automotive industry is preferred.
  • A high school diploma or GED; or one to three months of related experience and/or training; or an equivalent combination of education and experience.
  • A one-year certificate from a college or technical school; or three to six months of related experience and/or training; or an equivalent combination of education and experience.
  • An Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year of related experience and/or training; or an equivalent combination of education and experience.
  • A Bachelor's degree (B.A.) from a four-year college or university; or one to two years of related experience and/or training; or an equivalent combination of education and experience.
  • Two to four years of related experience and/or training; or an equivalent combination of education and experience.

Skills Required

  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Proficient in writing simple correspondence and effectively presenting information in one-on-one and small group settings.
  • Ability to interpret documents such as safety rules and operating instructions.
  • Strong mathematical skills, including the ability to add, subtract, multiply, and divide in all units of measure.
  • Ability to apply common sense understanding to carry out detailed instructions and solve practical problems.
