Job Overview

Position Summary

Tracy Motors Inc is in search of a dedicated Automotive Office Clerk responsible for overseeing various administrative functions within the office, specifically focusing on Accounts Payable and Electronic Vehicle Registration processing.

Key Responsibilities

  • Review all vouchers and secure necessary payment approvals.
  • Prepare checks for accounts payable.
  • Daily posting of all open accounts payable items.
  • Generate accounts payable reports and maintain comprehensive files.
  • Reconcile statements with the ledger to ensure alignment with dealership schedules.
  • Manage cash schedules effectively.
  • Oversee the petty cash system.
  • Communicate cash requirements for payment dates to the office manager.
  • Audit freight bills against inquiries.
  • Analyze vendor accounts for discrepancies.
  • Provide the title clerk with necessary information regarding purchased vehicles.
  • Address all vendor inquiries promptly.
  • Reconcile bank balances on a daily basis.
  • Review time cards, prepare worksheets for the office manager, and post payroll weekly.
  • Post flat rate flag sheets on a weekly basis.
  • Assist in the monthly closing processes.
  • Prepare account analyses as needed.
  • Support accounts receivable and special projects as required.
  • Maintain a professional appearance and organized workspace.
  • Process registrations for all new and used vehicles in accordance with state regulations.
  • Prepare necessary tax and title documentation.
  • Submit contracts and drafts to the appropriate lending institutions.
  • Handle all legal transfer work with the Department of Motor Vehicles.
  • Ensure accurate collection of funds and proper payment of lien holders prior to processing title applications.
  • Verify the accuracy of applications and completeness of information.
  • Manage dealer trades and prepare Certificates of Origin.
  • Compile and maintain a comprehensive list of outstanding title work.
  • Report to management on the status of any missing or problematic titles, providing a current list of outstanding titles weekly.
  • Perform other assigned duties as necessary.

Qualifications

To excel in this role, candidates must meet the following qualifications:

  • Experience in the automotive field is preferred.
  • A high school diploma or GED; or one to three months of related experience and/or training; or an equivalent combination of education and experience.
  • A one-year certificate from a college or technical school; or three to six months of related experience and/or training; or an equivalent combination of education and experience.
  • An Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year of related experience and/or training; or an equivalent combination of education and experience.
  • A Bachelor's degree (B.A.) from a four-year college or university; or one to two years of related experience and/or training; or an equivalent combination of education and experience.
  • Two to four years of related experience and/or training; or an equivalent combination of education and experience.

Skills and Abilities

  • Proficient in reading and comprehending simple instructions, short correspondence, and memos.
  • Able to write simple correspondence and effectively present information in one-on-one and small group settings.
  • Capable of interpreting documents such as safety rules and operating instructions.
  • Mathematical proficiency to perform basic calculations and interpret data.
  • Strong reasoning abilities to solve practical problems and interpret various instructions.
