Automotive Finance and Accounts Specialist

Position Summary
Tracy Motors Inc is looking for a dedicated Automotive Office Clerk to oversee essential office operations, focusing on Accounts Payable and Electronic Vehicle Registration management.
Key Responsibilities
- Review all invoices and secure necessary payment authorizations.
- Prepare checks for accounts payable.
- Daily posting of all outstanding items in accounts payable.
- Generate accounts payable reports and maintain comprehensive records.
- Reconcile financial statements with the ledger to ensure alignment with dealership schedules.
- Manage cash schedules and maintain the petty cash system.
- Communicate cash requirements for payment dates to the office manager.
- Audit freight bills against inquiries.
- Analyze vendor accounts for discrepancies.
- Provide the title clerk with necessary information regarding purchased vehicles.
- Address all vendor inquiries promptly.
- Daily reconciliation of bank balances.
- Reconcile time cards, prepare worksheets for the office manager, and post payroll weekly.
- Weekly posting of flat rate flag sheets.
- Assist in monthly financial closings.
- Prepare account analyses as needed.
- Support accounts receivable and special projects as required.
- Maintain a professional appearance and organized workspace.
- Process registration for all new and used vehicles in the appropriate state.
- Prepare necessary tax and title documentation.
- Submit contracts and drafts to the relevant lending institutions for payment.
- Handle all legal transfer work with the Department of Motor Vehicles.
- Verify collection of funds and ensure correct lien holder payments before processing title applications.
- Ensure accuracy in applications and completeness of information.
- Prepare dealer trades and Certificates of Origin, while maintaining a system for verifying out-of-state titles.
- Compile and manage a comprehensive list of outstanding title work.
- Report to management on the status of any missing or problematic titles, providing a current list of outstanding titles weekly.
- Perform other duties as assigned.
Qualifications
To be successful in this role, candidates must meet the following qualifications:
- Experience in the automotive industry is preferred.
- High school diploma or GED; or one to three months of related experience and/or training; or equivalent combination of education and experience.
- Completion of a one-year certificate from a college or technical school; or three to six months of related experience and/or training; or equivalent combination of education and experience.
- Associate's degree from a two-year college or technical school; or six months to one year of related experience and/or training; or equivalent combination of education and experience.
- Bachelor's degree from a four-year college or university; or one to two years of related experience and/or training; or equivalent combination of education and experience.
- Two to four years of related experience and/or training; or equivalent combination of education and experience.
Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos. Capable of writing simple correspondence and effectively presenting information in small group settings.
- Ability to interpret documents such as safety rules and operating instructions. Proficient in writing routine reports and correspondence.
- Mathematical skills to perform basic calculations and interpret data.
- Reasoning ability to apply common sense in carrying out detailed instructions and solving practical problems.
