Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Western States Fire Protection. As a key member of our office staff, you will be responsible for providing exceptional administrative support to our team, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Provide exceptional customer service to visitors, customers, and vendors, responding to phone calls and inquiries in a professional and courteous manner.
  • Assist with accounts receivable, including follow-up calls to collect outstanding payments.
  • Issue purchase orders for employees and maintain accurate records.
  • Perform various administrative tasks, including data entry, filing, and correspondence.
  • Support managers and staff with general administrative duties, such as scheduling appointments and preparing reports.
  • Complete special projects as assigned and demonstrate a willingness to learn and adapt to new tasks and responsibilities.
Requirements
  • High school diploma or equivalent required; one to two years of related experience preferred.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficient in business software applications and able to learn new systems quickly.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
